About the opportunity:
Our Tax Services and Aviation Advisory Services Departments are looking for a full-time Administrator to join the team. This hybrid role will be based in the Dublin city centre office and will report to both the Partner, Tax Services Department and Partner, Aviation Advisory Services Department. This full-time role will be 37.5 hours per week.
As an Administrator, you can expect your duties to include;
- Providing general administrative support.
- Providing support to the Senior Tax Manager to ensure the efficient operation of the income tax compliance function.
- Liaising with Tax Partners and management on the monthly invoicing requirements and assisting with raising invoices on the internal CRM system.
- Communicating with clients in a timely and professional manner.
- Working with Tax Partners and management to keep client lists up to date and assisting with onboarding and offboarding of clients.
- Assist with bank account set-up on behalf of clients, including KYC requests.
- Completing and gathering AML/KYC requests from clients and other parties.
- Arranging for Notary appointments and apostilling documents.
- Assisting with document execution and couriers (E-signatures, DocuSign etc).
- Maintaining transaction bibles and company records, ensuring fully executed documents are received.
- Assisting with Board Meeting preparation including meeting room bookings, agendas and board packs.
- Assisting with taking notes at board meetings.
- Tracking time on internal CRM system and ensuring team has completed on time
- Projects across finance and company secretarial functions.
- Providing adhoc administrative tasks as required.
What we are looking for:
- Prior administration experience working in an office environment.
- Excellent communication and interpersonal skills with a professional manner.
- Strong attention to detail and organisational skills.
- Good level of IT literacy with MS Office experience.
- Ability to multi task and work in a fast-paced environment.
- Self-motivated with good initiative.
