Job Title: Estates Administrator
Location: Barry (with multi-site coverage)
Pay: £13.33 per hour
Start Date: ASAP - Temp to Pem
Hours: Monday to Friday 8.30am till 5pm (flexibility required)
Essential Requirements: Enhanced DBS certificate, full UK driving licence, and access to a car

  • Willing to undertake relevant training in estate/property management systems.

  • Welsh language skills are desirable or a willingness to learn Welsh is essential.

Responsibilities

ROLE OVERVIEW:

St David Recruitment are seeking a proactive and highly organised Estates Administrator to support our clients dynamic Estates team. This role is vital in ensuring the efficient management of their estate operations across multiple sites. You will act as a central point of contact for tenants, contractors, consultants, and internal departments, supporting both day-to-day operational requirements and long-term capital development projects.

KEY RESPONSIBILITIES:RELATIONSHIP & OPERATIONAL MANAGEMENT

  • Act as the primary liaison for tenants, addressing queries and ensuring a high standard of occupation satisfaction throughout the tenure.
  • Coordinate the timely preparation and submission of service charge documentation in line with current RICS Service Charge Guidance.
  • Work closely with the operational estates team to maintain accurate and up-to-date information.
  • Respond to service charge queries, producing detailed breakdowns and schedules for review and agreement.
  • Liaise effectively with external stakeholders, including local authorities, government bodies, and private partners.
  • Handle tenant and stakeholder issues positively to ensure satisfaction and resolution.
  • Support capital development and estate functions, including services such as catering and cleaning, by working collaboratively with consultants and contractors.
  • Act as the central point of contact for capital projects, escalating issues to the Director of Estates as necessary.
  • Coordinate insurance matters, including statutory inspections and written schemes of examination, with brokers and insurers.
