Due to growth, we are looking for an Administrator to join our proactive team in Edinburgh. Responsibilities:

  • Providing administrative assistance to operational and administrative teams, including file management, database updates, scanning, and supporting projects.
  • Supporting the Secretarial Administrator with managing diaries, scheduling appointments, preparing reports, and handling ad hoc tasks efficiently while monitoring the secretarial inbox.
  • Aiding the Administration Manager with tracking inventory, restocking supplies such as stationery, printer paper, and other essentials, and liaising with suppliers and ordering supplies as needed.
  • Managing room and hospitality bookings, such as booking lunches, preparing hospitality, and making sure meeting rooms are tidy and appropriately set up before and after use.
  • Providing reception duties and welcoming visitors in a professional and friendly manner.
  • Maintaining and enhancing our professional, well-organised front of house.
  • Delivering general administrative support as needed, contributing to the smooth running of the office.
  • Ensure coffee machines are cleaned and replenished daily, maintaining hygiene standards and completing the monitoring log.
  • Assisting with operating the switchboard during periods of cover, ensuring calls are handled efficiently and professionally.
  • Dealing with incoming and outgoing mail. This includes taking the post to the Post Office each evening.
