JOB OVERVIEW

We are seeking a dedicated and detail-oriented Administrator to join our team. This role is essential in supporting various HR & Compliance functions, ensuring that our human resources and compliance operations run smoothly and efficiently within a busy and growing law firm.
The ideal candidate will possess strong administrative skills, and a passion for fostering a positive workplace culture.
This is a demanding role where no two days are the same, and whilst you may plan your day in advance it can change at the flip of coin. You must be able to demonstrate experience in a similar role showing that you can adapt quickly whilst still delivering high quality work and remaining calm and approachable.

SKILLS & EXPERIENCE

  • HR experience beneficial not essential
  • Law sector experience beneficial but not essential
  • Strong general administrative experience

Responsibilities

HR

  • Creating new employment contracts for review.
  • Ensure all new starters are accurately set up on the HR system.
  • Raising ticket with IT for all new starters.
  • Collate references and alert the Head of HR with any issues or concerns.
  • Prepare new starter gift bags and liaise with HoD.
  • Send out first day email to new starters.
  • Activate HR system on Day One.
  • Co-ordination of employee on boarding (Reading List, Mitigo and MBL)
  • Right to work checks for new starters.
  • Sending out relevant asset forms to new starters and updating the HR system.
  • DBS checks for new starters and 3-year checks for all employees/consultants.
  • Ensure HoD’s schedule Probation Meetings and prepare relevant letter depending on the outcome.
  • Birthday & Anniversary Cards for all employees.
  • Keeping the organisation chart up to date with starters & leavers, saving on HR system and issuing to relevant personnel once a month.
  • Annually collate and check for Practicing Certificates and liaising with HoD’s for any missing ones.
  • Update the HR system for any leavers, calculate any outstanding holiday allowance and prepare letter.
  • Raising IT ticket for all leavers.
  • Sending Asset Return Form to leaver & HoD ensuring it has the relevant assets listed.
  • Provide any requested references for leavers.
  • Provide reference number for any Friends and Family request.
  • Assist HR in preparing annual pay review letter.
  • Assist HR in annual appraisal process.
  • Add any new vacancies onto job boards and website.
  • Review CV’s with HR Manager and forward relevant ones onto Hiring Manager.
