Castle Gardens Nursing Home and Memory Care Centre are now looking for an Administrator to join the team.

NOTE

This job description is intended to give the post holder an appreciation of the role and the range of duties, it does not attempt to detail every activity. Given the nature of the work, it must be stressed that maximum flexibility is required to work in the nursing home. Specific tasks and objectives will be agreed with the post holder periodically by the Director of Nursing/Manager

  • The ability to prioritise and multitask, with excellent time management skills
  • Outstanding attention to detail
  • Ability to deal with several things concurrently and deal with changing priorities
  • Excellent communication and interpersonal skills
  • Fluent in both oral and written Englis
Responsibilities

The Administrator will consult with the Director of Nursing (DON) on a day to day basis and serve as a crucial point of contact for any administrative area.

What does this role entail?

  • Front of house duties when required certain periods during the day, lunch cover etc
  • Manage, report on and maintain accurate records of, for example, payroll, petty cash, employee files to the required Mowlam standard.
  • Up loading roster to our Time Management System (TMS)
  • Clearing daily anomalies on TMS
  • Review employee clock cards weekly to ensure that employee hours are recorded correctly
  • Submitting payroll to the Support office as per headlines
  • Ensure that all employee files are compliant with Mowlam Standards, eg garda vetting, CV references.
  • Preparing report for the DON on outstanding training
  • Booking training once approved by DON
  • Upload training certs once training is completed
  • Update TMS with new training.
  • Printing up to date policies.
  • Review supplier invoices on account system (Glantus)
  • Deal and engage with enquiries from residents and their families in a confidential manner
  • Managing/ordering supplies for the home
  • Submit information to Support office by specified deadlines (e.g payroll information/invoicing)
  • Any other duties deemed necessary by Director of Nursing
