Job Summary:
We are looking for a reliable and detail-oriented Office Administrator to manage the day-to-day administrative operations of our novomind MEA Dubai office. This role includes overseeing office logistics, managing financial administrative duties, and handling all government-related processes and documentation. The ideal candidate should be proactive, organized, and experienced in dealing with UAE free zone and government authorities.
Key Responsibilities:

  1. Office & Administrative Management
  • Ensure smooth running of daily office operations and maintain an organized working environment.
  • Manage office supplies, maintenance, and relationships with vendors and service providers.
  • Handle travel bookings, meeting arrangements, and company events coordination.
  • Support team members with administrative tasks and internal coordination.
  1. Financial Administration
  • Process and record invoices, payments, and expense claims.
  • Maintain petty cash and oversee office-related purchases.
  1. Government & Regulatory Services
  • Coordinate all company-related government transactions (free zone portals, DED, MOHRE, Immigration, etc.).
  • Handle license renewals, establishment card renewals, visa applications, Emirates ID processing, and employee medical insurance registrations/renewals.
  • Ensure compliance with UAE labor laws and government deadlines.
  • Act as the point of contact for inspections or regulatory inquiries.
  1. HR & Internal Support
  • Maintain employee records, contracts, and attendance reports.
  • Support onboarding and offboarding processes.
  • Coordinate with PROs, legal advisors, and external consultants when required.
  • Keep updated records of company documents, lease agreements, insurance policies, etc.

Requirements:

  • Minimum 3–5 years of experience in office administration, preferably in Dubai.
  • Strong knowledge of UAE labor and immigration processes, especially in free zone and mainland environments.
  • Experience in handling basic finance and accounting tasks.
  • Excellent written and verbal communication skills in English; Arabic is an advantage.
  • Proficient in Microsoft Office Suite and government online portals (MOHRE, FTA, ICP, GDRFA, etc.).
  • Highly organized, detail-oriented, and able to multitask effectively.
