POSITION OVERVIEW

To actively support the Administration team in the day to day admin functions of the business

Responsibilities
  • Management of electronic timekeeping system - Kissflow
  • Direct/manage incoming calls to the relevant personnel and record accurate messages
  • Directing visitors and other office branch personnel around the office
  • Establishing stationary requirements for the office
  • Liaising with couriers, dispatch teams and managing post in and out
  • Co-ordinate door access control for staff and visitors
  • Managing day to day office operations – filing systems, schedules, notice boards
  • Arranging meetings and participating in meetings
  • Preparation/circulating of minutes
  • Co-ordinating and communicating activities for the office
  • Liaise with all disciplines for administration requirements
  • Send all relevant information to the payroll department for all employees on the JV.
  • Distribute all training requirements for employees and ensure checks are carried out to ensure employee attend all training courses
  • Working with the management team to maintain a safe office environment and dealing with any health, safety, security issues as they arise
  • Ensuring any concerns or complaints are delegated to the correct discipline manager
  • Photocopying and collation of material
  • Filing
  • Ensure there is sufficient stationery within the office and reorder as and when required
  • Ensure familiarity with Oneaim Health, Safety and Environmental policies and comply with employee responsibilities
