Responsibilities

ABOUT THE ROLE

We’re looking for a strong, organised, and proactive Administrator / Receptionist to help ensure the smooth day-to-day running of our busy therapy centre. You’ll be the first point of contact for many clients, both in person and over the phone, so a calm, friendly, and professional manner is key.
In addition to reception duties, you’ll take ownership of a range of administrative responsibilities, including diary management, database entry, document handling, and project support. The role also includes keyholder responsibilities and supporting the general upkeep of the Centre.
This is a part-time post, ideal for someone who enjoys working with people and takes pride in maintaining high standards of administration.

ADMINISTRATIVE DUTIES

  • Maintain accurate client records and input data into internal systems
  • Manage practitioners’ diaries and co-ordinate schedules
  • Format and proofread documents such as reports, letters, and appointment emails
  • Support internal meetings, training events, and service administration
  • Help with general project and clinical admin tasks as needed
  • Follow confidentiality, safeguarding, and data protection procedures

FACILITIES AND KEYHOLDER DUTIES

  • Open and lock up the building, including setting alarms
  • Perform end-of-day checks, ensuring rooms are tidy and stocked
  • Report any health and safety or maintenance issues and follow up where appropriate
  • Carry out or assist with routine safety procedures, including fire checks (training provided)
  • Take responsibility for light housekeeping tasks such as tidying communal areas and running the dishwasher
