GENERAL SUMMARY

The Administrator / Receptionist role involves a significant amount of activity in support of all Departments on site in administrative and execution. As Receptionist the role will carry out switchboard and reception duties. They will ensure that all visitors are welcomed and directed to the correct department or appropriate staff member within the organisation and that all telephone enquiries are dealt with efficiently and effectively to ensure excellent customer care.

Responsibilities

PRINCIPLE DUTIES AND RESPONSIBILITIES (BUT NOT LIMITED TO):

To carry out a variety of administrative tasks including but not limited to:

  • Putting ECN into SharePoint
  • Create Purchase Requisitions
  • Take employee photos
  • Order Business Cards
  • Order Stationery
  • Order Catering Supplies
  • Book Catering
  • Input Expenses
  • Answer & Send emails
  • Issue company stamps for Shop floor
  • Enter Holidays, Absence & run SAP reports
  • Enter New Starts & Leavers into SAP
  • Enter Training Records for EHS
  • Keep Training Matrix up to date
  • Keep Fire Register up to date
  • Book appointments for Occupational Health

To carry out a variety of reception work including but not limited to:

  • Update TV’s every morning
  • Answering and forwarding calls telephone calls
  • Meeting & greeting clients
  • Order & administer visitor & contacts badges for both reception & Gatehouse
  • Manage sign in sheets for contactor & visitors
  • Booking meetings and meeting rooms
  • Deal with incoming mail
  • Keeping reception area tidy
