We are passionate about making a positive impact on the community and are looking for a dedicated and organised Administrator to join our growing team!

QUALIFICATIONS

  • Proven experience as an administrator or in a similar role
  • Excellent organisation and time management skills
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office and Google Docs
  • Familiarity with office equipment and basic IT troubleshooting
  • Attention to detail and problem-solving skills
  • Ability to work independently and as part of a team
  • Knowledge of GDPR is a plus
  • Experience in the non-profit sector is desirable
Responsibilities

KEY RESPONSIBILITIES

  1. Office Management
  • Maintain a well organised and efficient office environment
  • Manage office supplies and trainer equipment, ensuring availability and functionality
  • Coordinate maintenance and repairs of office facilities
  1. Administrative Support
  • Provide administrative support to the management team and other staff members
  • Handle incoming and outgoing correspondence, including emails and phone calls
  • Schedule and organise meetings, appointments and events
  • Prepare and distribute meeting agendas, minutes and other documents
  1. Data Management
  • Maintain accurate and up to date records and databases
  • Assist in the collection, analysis and reporting of data related to our programmes and services
  • Ensure compliance with data protection and GDPR policies
  1. Financial Administration
  • Process invoices, expense claims, and other financial documents
  • Assist with budgeting, financial reporting and bookkeeping tasks
  • Liaise with suppliers, clients and financial institutions as needed
  • Prepare for annual audit of Siel Bleu Ireland financial statements
  • Credit control and cashflow
  1. Customer Service
  • Serve as the first point of contact for visitors, clients and stakeholders
  • Address inquiries and provide information about our programmes and services
  • Support the enrollment and onboarding process for new clients
  1. Project Support
  • Assist with the planning and execution of special projects and initiatives
  • Collaborate with team members to ensure timely and successful project completion
  • Contribute to the development of new programmes and services
  1. HR
  • Assist in HR matters for the organisation
  • Support scheduling of Siel Bleu trainers weekly work days
