Lawrence Berkeley National Laboratory (LBNL) is hiring an Administrator (INTERNAL APPLICANTS ONLY) to provide comprehensive administrative support to the Strategic Communications Department (SCD) and the Office of Stewardship (OSO) within the Laboratory Directorate. In this exciting role, you will serve as the central coordinator for administrative operations and manage a broad range of moderately complex responsibilities in a fast-paced environment. The position will report to the Chief Communications Officer (75%25) and is matrixed to the Chief Stewardship Officer (25%25). Note: The position will be exclusively available to current Berkeley Lab employees and those in layoff status with preferential rehire rights from Berkeley Lab. This position has an anticipated start date of March 2, 2026. What You Will Do: Serve as the primary point of contact for operational and customer service support for the Chief Communications Officer, Chief Stewardship Officer, and their teams. Manage calendars, scheduling, and logistical coordination for meetings, councils, and events, including preparation of agendas, materials, presentations, and digital tools to ensure smooth execution. Support budget tracking and monitoring in coordination with finance representatives. Oversee procurement and vendor contract activities in compliance with Lab, UC, DOE, and federal requirements, including requisitions, purchase orders, subscriptions, invoicing, and contract coordination. Manage departmental property, inventories, office space needs, facilities requests, and general office operations (IT coordination, phones, copiers, mail, transportation, and related services). Provide travel assistance, timekeeping support, and onboarding coordination. Maintain project and action-item tracking systems to monitor deadlines and deliverables; training staff on tools as needed. Support health and safety coordination to maintain safe, functional workspaces. Assist with access to Lab systems and services and providing requested data and information to Directorate leadership. Perform other administrative duties as assigned by the Chief Communications Officer and Chief Stewardship Officer. What is Required: A minimum of five years of progressive administrative experience supporting a large or complex team, department, or division, including executive-level support or equivalent training and experience. Experience designing and maintaining tracking systems, databases, spreadsheets, and work processes to manage data accurately and improve efficiency. Proficiency with common business software, including Google Workspace, Microsoft Office (Excel, Word, PowerPoint), Adobe Acrobat, and spreadsheet tools; ability to quickly learn new systems and platforms. Strong organizational, time-management, and task-management skills, with the ability to track multiple projects and deadlines while maintaining attention to detail and follow-through. Ability to work independently with initiative to prioritize work, anticipate needs, and plan for upcoming activities in a fast-paced, evolving environment. Excellent verbal and written communication skills, including tact, diplomacy, sound judgment, and discretion when handling sensitive or confidential information. Demonstrated commitment to high-quality customer service and the ability to build and maintain effective, professional working relationships at all levels and across multifunctional teams. Proven ability to remain focused and effective amid frequent interruptions and competing priorities. Ability to analyze, interpret, and clearly communicate institutional policies. Demonstrated problem-solving skills, including the ability to propose and implement improvements that enhance internal and external customer service. Desired Skills/Knowledge: A Bachelor’s Degree in Business, Communication, or a related field. Knowledge of LBNL administrative systems and policies, including requisition/procurement (including subcontracts), events, report coordination, travel, timekeeping, and financial management. Experience with administrative support in a large organization. Salary Range: This position is represented by a union for collective bargaining purposes and has a budgeted salary range of $89,000 - $105,000 annually, for job code A40.2. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary will be commensurate with the final candidate’s qualifications and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group (if applicable and per the union contract agreement).
