QUALIFICATIONS

  • Minimum 1 year experience in an educational setting and customer service.

Responsibilities

ROLE SUMMARY

The Student Admissions & Services Coordinator serves as a central point of contact for prospective and current students, supporting their journey from initial inquiry through to graduation. Reporting to both the Student Services Manager and Admissions Managers, this role collaborates with departments across the college—including Marketing, Finance, Academics, Curriculum, and Facilities—to ensure a seamless and supportive student experience.

RESPONSIBILITIES

Admissions & Enrollment Support

  • Respond to inquiries from prospective students via website, phone, email, and text.
  • Conduct campus tours, schedule interviews, and manage follow-up communications.
  • Maintain and update admissions guidelines, policies, and procedures.
  • Liaise with Financial Advisors regarding registration, enrollment, and tuition payments.
  • Prepare and analyze admissions reports and trends.

Student Services & Lifecycle Support

  • Guide students through registration, financial options, and academic compliance.
  • Support students in meeting graduation requirements including attendance, grades, finances, practicum, and surveys.
  • Organize and release official documentation such as confirmation letters, certificates/diplomas, and transcripts.
  • Issue student ID cards and assist with account setup and troubleshooting.
  • Maintain detailed and confidential student records.
  • Collect and report on student lifecycle data to improve services.

Campus Liaison

  • Act as an ambassador for all HWCC schools, promoting programs and providing information to campus visitors.
  • Facilitate campus tours for walk-ins and scheduled appointments, ensuring guests receive contact and program materials.
  • Maintain a clean and presentable campus environment, including light cleaning and coordination with janitorial services.
  • Monitor and replenish general usage supplies (soap, paper towels, sanitizers, etc.).
  • Track inventory and request new supplies as needed.
  • Set up and transition classroom and clinic spaces based on academic and clinic schedules.
  • Ensure campus resources (iPads, linens, etc.) are available and functioning.
  • Liaise with mall administration, security, couriers, and vendors to support campus operations.
  • Receive and forward mail to Home Office as applicable.
  • Monitor and manage miscellaneous materials such as intake forms, waivers, keys, and operational manuals.
  • Enforce health, safety, and infection control protocols; regularly check emergency equipment and display public licenses.
  • Other duties as assigned/requested.

Cross-Departmental Collaboration

  • Liaise with administration, faculty, and stakeholders to maintain accurate student records.
  • Coordinate student and faculty supply shipments with the Facilities and Procurement Manager.
  • Participate in campus visits, trade shows, and open houses.
  • Perform general office duties and support other staff as needed.
  • Contribute to continuous improvement initiatives across admissions and student services.

Events & Outreach

  • Participate in external outreach and marketing events to promote the college and its programs.
  • Represent the college at community, career, and industry events to engage prospective students.
  • Assist with planning and attending on-campus clinic events, open houses, and information sessions.
  • Support event set up, coordination, and follow up activities as needed.
