The Adult Education Administrative Assistant is directly responsible to the Adult Education Data and Compliance Manager. This position has primary responsibility for serving as the department receptionist and technology coordinator. The Adult Education Data and Compliance Manager delegates authority to the Adult Education Administrative Assistant to carry out the following responsibilities: Answer phone, email, virtual chat, and in-person inquiries to provide general information to students, staff, faculty, and the general public. Coordinate the scheduling of departmental computer labs and Chromebook carts, ensuring Chromebook carts are fully charged and moved to the appropriate classrooms for in-class use. Support usage of educational websites including Burlington English, CASAS Academy, IXL, Aztec, and i-Pathways by providing instructor access and creating student accounts. Provide regular reports of supplemental education program usage to department administration. Serve as main point of contact with software representatives to coordinate instructor trainings. Work 1-2 evenings per week to support evening instructors with technology as well as assist with testing sessions and online registration. Process assigned computer work, office correspondence or document imaging as required. Ensure adequate office supplies are available for faculty and staff. Understand and comply with FERPA requirements. Maintain the security of student records, both physical and electronic. Assist with Adult and Workforce Education annual recognition ceremony. Perform other duties as assigned. Minimum Qualifications High school diploma or equivalent required. Bilingual required. Two years of related office/clerical experience required. Experience in a college environment preferred. Excellent computer and software skills. Excellent organizational, human relations and communication skills.
