Holy Innocents’ Episcopal School (HIES) is seeking an Advancement Services Manager. HIES is the largest Episcopal Parish independent day school in the country, serving 1,400 students and offering a fully accredited college preparatory program for students three years old through 12th grade. Holy Innocents’ mission is to develop in students a love of learning, respect for self and others, faith in God, and a sense of service to the world community.
HIES is located north of downtown Atlanta, Georgia. The Advancement Services Manager reports to the Director of Advancement Services and works closely with the entire Development team. POSITION OVERVIEW:

The Office for Institutional Advancement promotes philanthropy to advance the mission and priorities of Holy Innocents’ Episcopal School. The Office for Institutional Advancement is seeking a highly organized, detail-oriented Advancement Services Manager to join its team. The Advancement Services Manager is an integral member of the team, providing a full range of support to the Office of Institutional Advancement, including assisting the Director of Advancement Services with the maintenance of Raiser’s Edge (RE) database, ensuring data integrity, and providing support to the Office for Institutional Advancement, Business Office, and other departments within Holy Innocents’ Episcopal School. The ideal candidate will have experience in providing excellent service to donors, colleagues, and all constituents. It will be important that this person has an attitude of “yes” and seeks ways to add value to donors and the development team.

EDUCATION, EXPERIENCE & SKILLS:

  • Bachelor’s degree with a minimum of 3-5 years of office experience, preferably in Development.
  • Experience with Raisers’ Edge or a similar relational database preferred.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Strong attention to detail and a commitment to accuracy.
  • Excellent judgment and an ability to maintain confidentiality and work with sensitive information.
  • Ability to maintain a high degree of motivation and focus.
  • Demonstrate ability to meet deadlines and work independently as an effective member of a team.
  • Knowledge of wealth screening and other research tools.
  • Commitment to the mission of Holy Innocents’ Episcopal School.
    The hours for this position are generally 8:00 a.m. to 4:00 p.m., Monday through Friday, with occasional evening and weekend commitments. This is a year-round, hybrid staff position.

Responsibilities

Data Management:

  • Maintain accurate and up-to-date donor data in the organization’s database.
  • Design and generate customized queries, reports, and exports, including but not limited to Annual Fund, capital, and special project reports; solicitation lists; phonathon data; mailing and invitation lists; and donor and volunteer lists.
  • Complete entry and acknowledgement of gifts and pledges received in the mail, online, including but not limited to annual fund, capital, and special projects, endowment, memorial, and restricted annual gifts.
  • Generate and organize daily gift entry, post reports, and deliver gifts to the Business Office. Work closely with the Director of Advancement Services to conduct monthly reconciliation with the Business Office for all donations.
  • Provide development colleagues with the information to respond promptly to donor requests, questions, and concerns received via phone, email, and mail. Under the direction of the Director of Advancement Services, verify donor commitments and intentions by sending out pledge reminders.
  • Assist with entry and maintenance of constituent data for individuals and organizations in RE, following best practices and data entry guidelines. Notify the Advancement office staff of important updates. Perform database audits as directed.
  • Enter returned mail address corrections and other change of address notifications in the database.
  • Communicate data updates to colleagues to ensure continuity between multiple databases on campus.
  • As needed, assist with recognition programs and stewardship reporting.
  • Scan donor information. Assist with the production of pledge reminders three times yearly.
  • Provide support for Office for Institutional Advancement’s large mailings, events, and other projects as needed.
  • Reconcile with Enrollment Management annually to refresh the database with up-to-date constituent information.

Prospect Research:

  • Perform constituent research to aid in prospect identification and engagement strategies.
  • Identify potential donors with high giving capacity and affinity for the organization’s mission.
  • Create prospect briefings for the fundraising team.
  • Prepare and disseminate high-quality and accurate profiles, strategic briefings, and information about our highest-level prospects and donors that are critical to securing major gifts.
  • Identify, evaluate, and recommend potential high net worth prospects and assess their interest in and ability to financially support HIES, including likelihood, potential programmatic interest, and giving potential.
  • Analyze internal and external data resources to help prioritize prospects and strategically apply intelligence gleaned on donors and prospective donors to make recommendations that will inform individual strategies and result in closing new leadership-level gifts.
  • Proactively reviews donor prospect assignments to ensure movement and solicitation strategy in relation to capacity and affinity.
  • Compose documents (profiles, biographies, project summaries) using style, grammar and content appropriate to specific audiences.
  • Generate donor, fund, campaign and proposal analytical reports from the Raiser’s Edge and create custom reports to assist gift officers.
  • Work with Director of Advancement Services to maintain data integrity, constituent attribute coding, and perform routine clean up.
  • Provides backup gift entry and acknowledgment support for Database and Stewardship Specialists during peak giving periods.
  • Other duties as assigned.
