SUMMARY

This position is responsible for ensuring the office is running smoothly. Owns all general office management, including administrative activities, employee experience, some financial aspects, and reporting functions.
Pay: $20 per hour, Non-Exempt

MINIMUM QUALIFICATIONS

  • Two years’ experience in general office administration
  • Advanced skills in communication and organization
  • Sound judgement and effective interpersonal communication skills
  • Excellent problem-solving and follow-through skills
  • Have strong internal and external client-focused behavior
  • High energy, friendly, and an outgoing personality
  • Must be proficient in English grammar, spelling, and punctuation
  • Must have great attention to detail and have demonstrated organizational skills
  • Must be proficient in all MS Office software applications
  • Ability to multitask in a fast-paced environment
  • Exhibit initiative, responsibility, flexibility, and problem-solving skills
  • Must be able to add, subtract, multiply, and divide whole numbers and perform simple calculations involving decimals and simple fractions.
  • Must be able to carry out a large number of detailed written or verbal instructions with multiple steps, in complex systems, performed with a high degree of accuracy and speed.
  • Prior experience with Applied Epic is a plus

Responsibilities

ESSENTIAL FUNCTIONS

  • Renew Agency licensing, including non-residence
  • Print and process checks generated by our accounting service.
  • Process operating deposits
  • Sort/prepare mail
  • Office maintenance
  • Ensure all office supplies are in stock
  • Manages monthly meal/Company outings
  • Monitor and process all receipts and reconcile monthly credit card statements
  • Create new employee digital signatures for Epic and form letters
  • Administer eFax (set up and remove users)
  • Administer ShareFile and RightSignature
  • Administer Phone System; adding/deleting employees, updating directory, troubleshooting phone issues.
  • Gather data and prepare standard and custom reports with information necessary for decision-making.
  • Backing up the Director of First Impressions
  • Work closely with the Operations Manager on special or miscellaneous projects as assigned.
