JOB SUMMARY

The Air Export/Import Coordinator is to manage day-to-day transactions for air export/import deliveries. They are expected to execute accurate documentation, secure bookings with airlines, coordinate timely customs clearance and delivery, ensure compliance in all facets of the tendering process. They must also facilitate all communications in a timely manner to airlines, global partners and customers.

  • This position require perishable shipments handling experience and flexible hours to work from Sunday to Saturday (35/40 hours a week).

QUALIFICATIONS

  • Experience with handling perishable air shipments
  • Flexible work hours are required from Sunday to Saturday
  • Prior knowledge and experience in the freight forwarding industry, specifically handling air cargo
  • Knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Competency with the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of basic procedures relating to exporting and importing goods from and to Canada
  • Ability to manage one’s own time and prioritize tasks based on time sensitive demands
  • Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
  • Comfortable communicating with others, including colleagues, customers and outside vendors
  • Ability to identify complex problems and review related information to develop and evaluate options and implement solutions.
  • Capable of providing quality service for our customers by understanding their needs and requirements
  • Ability to remain calm in stressful situations, work under pressure and meet deadlines
  • Basic knowledge of Microsoft Office products, including Excel and Word

Responsibilities

Air Export:

  • Process Air Exports for various customers
  • Coordinate with tracking companies pick up of cargo from shipper
  • Prepare Check in sheets and assign HAWB numbers for shipments
  • Coordinate with shipper for all required documents (e.g. Commercial Invoice, Export Declaration, Export Permits Etc.)
  • Process shipment using Nippon Express AS 400 system
  • Coordination with Shipper, Airlines, Nippon Express warehouse personnel as well as any Nippon Express overseas offices involved in any aspects related to Air Exports shipments
  • Prepare HAWBs and MAWBs using our AS400 system
  • Prepare Customer Invoices
  • Prepare Air Export Quotations
  • Apply appropriate rates based on specific agreements with customer
  • Ensure compliance in all facets of the tendering process, including but not limited to dangerous goods requirements, and utilize required software programs to submit shipments for movement

Air Import

  • Receive import files provided by Air Import Supervisor
  • Verify that each file has all required information
  • Prepare advise notices and submit them to CNEE’s customs broker
  • Enter necessary information in AS400 system and obtain documents require for customs clearance
  • Notify consignees and customers about the arrival of their cargo when applicable
  • Arrange, when required, delivery of goods to final destination
  • Issue invoices to customers, customs brokers or origin stations, depending of shipments terms and client’s requirements
  • Follow up with cargo irregularities and keep CNEE inform on how they are been resolved
  • Submit documents to Canada Customs for arrival stamping
  • Notify warehouse personnel of any scheduled pick up from outside carriers
  • Place all air import documents together and file them once shipment is successfully delivered to final destination
  • Maintain company standards and procedures
  • Follow company policies regarding handling of Air Cargo
  • Various other tasks as may be required
