Job Description: The Air Freight (Export) Operations Assistant supports end-to-end air export operations, ensuring timely booking, accurate documentation, and smooth coordination with airlines, customers, and internal teams. The role requires strong attention to detail, good communication skills, and the ability to work in a fast-paced logistics environment. Job Responsibilities Assist in handling air freight export shipments from booking to final departure Coordinate with airlines, GSA offices, trucking vendors, and warehouses for space booking and cargo movement Prepare and process air export documentation, including MAWB, HAWB, commercial invoices, packing lists, and export permits Ensure compliance with airline requirements, IATA regulations, and export customs procedures Submit shipping instructions and confirm flight schedules and cut-off times Track export shipments and provide timely status updates to customers and internal teams Coordinate customs export clearance and ensure all documentation is complete and accurate Enter shipment details into freight management systems and maintain accurate operational records Handle operational issues such as rollovers, delays, or documentation discrepancies Perform other operational and administrative tasks as assigned Job Requirements Possess a Diploma or Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field (preferred) At least 2 years of experience in air freight forwarding or export operations is preferred, though individuals without experience will also be considered Basic knowledge of air freight export processes, Incoterms, and IATA regulations is an advantage Strong organizational skills with high attention to detail Good written and verbal communication skills Ability to multitask and work under pressure to meet flight cut-off times Working proficiency in MS Office (Excel, Word, Outlook) Experience with freight forwarding or cargo management systems is a plus Proactive, responsible, and eager to learn Customer-oriented with problem-solving skills Able to work independently and as part of a team Detail-focused with a strong sense of urgency Employee Type: Permanent UPS is committed to providing a workplace free of discrimination, harassment, and retaliation.
