QUALIFICATIONS

  • Post-secondary degree (college/ university) in business, accounting or other relevant field with combined experience.
  • Volunteer and Board management training, especially minute taking and meeting logistics. Certification or demonstrated ability in project management and Board, volunteer or donor relations is preferred.
  • Demonstrated research skills using a variety of methods.
  • Demonstrates a strong donor centered attitude.
  • Knowledge of Donor-Centered Fundraising and the role of fundraising and stewardship within the organization is preferred.
  • Proficient in using various office software (MS Office, Basecamp, Adobe).
  • Familiarity with customer relationship management software (e.g. Raiser’s Edge).
  • Demonstrated ability to take initiative and work independently, establishing priorities and meeting deadlines.
  • Organized and efficient, capable of managing multiple projects with competing priorities to the highest standards in a timely manner while remaining flexible.
  • Excellent written and oral communication skills are mandatory.
  • Interpersonal skills to work in a small office environment and with a wide variety of stakeholders both internally and externally.
  • Accurate and impeccable attention to detail.
  • Commitment to continuous learning and remaining current with industry trends with ability to apply new concepts.

Responsibilities
  • Gathers applications and nominations, prepares packages for the Review Committee, collates and tabulates rankings/scoring, and prepares reports for the Executive Director.
  • Coordinates material and logistics for the Alumni Association Annual General Meeting and Board retreat
  • Manages the Alumni Card program, including receiving payment notifications, submitting and tracking card requests, mailing final packages and serving as a first point of contact for all alumni inquiries.
  • Organizes travel and reimbursement for Alumni Association Board and Chapter members for Homecoming (both campuses) and the annual Board retreat. Approximately 12-15 volunteer travel reimbursements per Homecoming.
  • Prepares Board meeting minutes for the Alumni Association and assists with the preparation and distribution of packages, scheduling and technology for monthly meetings.
  • Responds to internal and external requests for Alumni-branded items.
  • Works to automate the Alumni Engagement Metrics model by tracking activity in the Customer Relationship Management database (Raiser’s Edge).
  • Prepares year-end summary reports of alumni engagement for use by University Advancement (BERC), the Alumni Association (AGM) and the University (Annual Report).
  • Serves as a superuser of the Student Awards database.
  • Manages the annual Convocation Scarves project as part of the Convocation ceremonies by ensuring scarves are ordered for in-person distribution (both campuses) as well as for the mailout in partnership with Enrolment Services.
  • Provides administrative support to the Director and Associate Director, including budget preparation, expense reporting, invoice routing and processing, travel and meeting coordination, proactive calendar management, report generation, and file organization and optimization.
