Position Title Annual Fund & Donor Communications Manager Department Development Reports To Director of Development and External Affairs Position Summary Annual Giving is the cornerstone of philanthropic support at Providence High School (PHS). The Annual Fund & Donor Communications Manager leads this essential work at a pivotal time in the school’s history: a clear multi-year vision has been set with the approval of the first Strategic Plan. This role strengthens Providence High School’s culture of philanthropy, which will be critical to the success of the initiatives in the Strategic Plan, by leading the strategy, execution, and storytelling for the Providence Fund and donor communications. This role blends project management, writing, donor stewardship, and cross department collaboration to ensure successful annual giving outcomes that advance Providence’s mission and values. The Manager develops compelling campaign communications, oversees annual giving operations, supports donor and volunteer engagement, and partners closely with colleagues across Development, Communications, Finance, Facilities, and school leadership. As a public-facing role, where relationship building with parents, alumni, and the broader community are critical, the Manager must communicate effectively across constituencies and meet or exceed ambitious financial and participation goals.  Success in this role requires professionalism, a collaborative spirit, initiative, strong relationship skills, exceptional writing ability, and comfort managing multiple simultaneous deadlines – delivered with grace, integrity, and a sense of humor. Salary Range (California Pay Transparency Requirement) $85,000.00 – $110,000.00 Annual USD  *Final compensation within this range will be determined based on the candidate’s years of relevant experience, education, internal equity considerations and organizational needs. Essential Duties & Responsibilities Annual Giving Strategy & Management * Plan and manage all aspects of the Providence Fund annual campaign, including calendar development, audience segmentation, direct appeals (print and digital), and donor stewardship. * Coordinate campaign and stewardship materials—solicitation letters, emails, social media, website content, impact stories, and event collateral. * Support planning and execution of development events that advance annual giving, stewardship, and community engagement (e.g., Providence Party, donor receptions, parent events). * Track progress toward fundraising and participation goals; deliver clear, timely reports and insights to Development leadership. Donor Communications & Messaging * Serve as lead writer for annual giving and donor communications, maintaining a mission aligned brand voice that is tailored to targeted audiences. * Produce stewardship deliverables such as impact summaries, acknowledgements, and donor updates; ensure consistent, meaningful recognition across channels. * Maintain messaging guidelines and content calendars; integrate data insights to improve relevance and response. Volunteer Engagement & Partnerships * Recruit, develop, and support volunteer leaders for the Providence Fund. * Collaborate with the Assistant Director of Stewardship and Operations to build and retain a diverse pipeline of volunteers across parent, alumni, grandparent, faculty/staff, and community segments. * Provide volunteers with clear written materials, strategic guidance, regular updates, and a structured calendar for collaboration. * Manage the current volunteer management system that enables solicitors to track outreach and progress across multiple campaigns in real time. * Partner with faculty and staff to coordinate Giving Day participation and promote a strong culture of philanthropy schoolwide. * Identify long-term opportunities—alumni giving, reunion giving, grandparent engagement, parent of alumni strategies—and develop multiyear plans to pilot, assess, and scale. * Steward volunteers through recognition and appreciation events aligned with Providence’s values of gratitude and community. Donor Relationship Building * Maintain a visible presence at Providence events and community gatherings throughout the year, including evenings and weekends, serving as a welcoming ambassador for philanthropy. * Manage donor portfolio and tracking system for key solicitors, including the Head of School, Director of Development, and Regents. * Oversee stewardship protocols for the Providence Fund, special initiatives, and planned giving to ensure consistent recognition and timely follow-up. * Partner with the Development Team to support a healthy prospect pipeline and help identify donors positioned for increased engagement or major giving. Cross Functional Collaboration * Serve as a liaison among Development, Communications, Facilities, and other internal stakeholders for coordinated planning, event execution, and communications workflows. * Work with Finance on accurate gift processing, reconciliation, and vendor contracts related to development initiatives. Goals, Metrics & Budget Management * In partnership with the Director of Development & External Affairs and school leadership, set annual and multiyear goals for revenue, participation, donor retention, and acquisition. * Monitor progress throughout the year using dashboards and reports; surface data driven insights that inform campaign strategy and resource allocation. * Develop and manage the Providence Fund budget, including annual planning, Add: This job description reflects essential functions and does not encompass all duties that may be assigned. Qualifications Required * Bachelor’s degree and5+ years of experience in fundraising, communications, or related nonprofit/education work. * Proven success in annual fund operations, volunteer coordination, donor stewardship, and campaign communications. * Outstanding writing and editing skills with the ability to produce clear, compelling donor communications across print and digital channels. * Strong project management skills: ability to prioritize, problem solve and meet deadlines in a fast-paced environment. * Proficiency with Raiser’s Edge/NXT (or comparable CRM), email marketing tools, social media platforms, and the Microsoft Office Workspace. * Sound judgment, discretion, accuracy, and attention to detail; experience working with large datasets and creating reports. * Collaborative team member with a friendly, constituent centered demeanor and growth mindset; able to work independently and cross functionally.
