What the day will look like Client Logistics & Scheduling Coordinate end‑to‑end logistics for wellbeing programmes, including workshops, coaching sessions, health fairs, demos, and onsite or virtual events. Manage scheduling with clients, facilitators, speakers, and internal stakeholders. Ensure all materials, platforms, and event requirements are prepared in advance. Support client communications, pre‑event preparation and post‑event action items Proposal & SOW Support Format, proofread, and quality‑check proposals and Statements of Work (SOWs). Maintain version control and a repository of proposals, SOWs, POs, invoices, and signed documents. Track SOW approval status, payment status, revenue allocation, timelines, and contract dependencies. Vendor Coordination & Reporting Liaise with wellbeing vendors, coaches, and facilitators to confirm availability and programme requirements. Coordinate vendor scheduling, documentation collection, and reporting requirements. Collect event data, attendance, and programme outputs for reporting. Work with the Partnerships team to ensure timely submission of vendor invoices and support with reconciliation. Revenue & Activity Tracking Maintain trackers for revenue, utilization, activity volume, and programme delivery status across APAC. Provide operational data to support budgeting, forecasting, and pipeline management. Partner with Wellbeing and Partnerships teams to reconcile invoicing and programme completion. Post‑Delivery Client Follow‑ups Conduct post‑programme follow‑up with clients to gather feedback and confirm next steps. Coordinate NPS surveys, feedback forms, event reports, and post‑event deliverables. Ensure all project closure requirements (reports, summaries, invoicing) are completed accurately. Skills and experience that will lead to success Experience in coordination, project support, event management, or operations (ideally 5+ years). Strong organizational and time‑management skills; able to manage multiple APAC‑wide projects simultaneously. Excellent written and verbal communication skills. Comfortable working with regional teams, multiple time zones, and diverse stakeholders. High proficiency in Microsoft Excel, Word, PowerPoint, and project‑tracking tools. Detail‑oriented with strong follow‑through and ability to work independently. Experience in wellbeing, HR, learning and development, healthcare, or consulting environments. Familiarity with vendor coordination and client‑facing support. Background in shared services or professional services environments.
