POSITION OVERVIEW

As our Appointment Coordinator, you will be the first point of contact for service customers—managing inbound calls, online service requests, and scheduling appointments to keep our shop running smoothly. Your role is key in maintaining strong customer relationships and helping our team stay on track.

QUALIFICATIONS

  • High school diploma or GED required
  • Prior experience in customer service, receptionist, call center, or scheduling roles preferred
  • Automotive or dealership experience is a plus
  • Strong communication and organizational skills
  • Comfortable using dealership management systems and CRM tools
  • Friendly, professional demeanor with the ability to multitask in a fast-paced environment

Responsibilities
  • Answer incoming calls and respond to online service appointment requests
  • Schedule and confirm service appointments to optimize shop capacity and technician availability
  • Provide clear, friendly communication about services, wait times, and appointment logistics
  • Maintain and update accurate customer and vehicle information in the scheduling system
  • Follow up with customers for appointment reminders, rescheduling, or post-service satisfaction
  • Support service advisors by helping check in walk-in customers
  • Collaborate closely with service and parts teams to ensure accurate appointment scheduling
