Description:

The Administrative Assistant supports the AEC department in delivering construction projects efficiently and in alignment with organizational standards. This role involves providing senior-level administrative assistance, ensuring project documentation compliance, managing budgets, and facilitating smooth project workflows.

  • Provide proactive administrative support to the project management team to improve safety, quality, and processes.
  • Prepare and process project documentation, including approvals, invoices, drawings, and correspondence.
  • Assist in budget preparation, monitoring project finances, and advising on deviations.
  • Compile and analyze complex data for memos, reports, spreadsheets, and presentations.
  • Collaborate with Finance and Legal teams to ensure documentation compliance and support audits.
  • Manage project information, maintaining knowledge of protocols and ensuring compliance.
  • Arrange meetings and events, including organizing travel and refreshments when needed.
  • Attend project meetings, take minutes, and follow up on action items to ensure deadlines are met.
  • Draft monthly project reports for managerial approval.
