The role / What are we looking for?
KPMB is seeking an experienced and highly organized Architectural Project Manager to join our healthcare project team. This role is pivotal in advancing the development and management of architectural projects with efficiency and precision, supporting our commitment to creating meaningful and positive contributions to healthcare design.
The ideal candidate is a licensed Architect with a strong aptitude for organization, data management, and posses the ability to manage document collection, delivery while maintaining clear communication with clients, consultants and other project stakeholders. The role requires a proactive, solutions-oriented individual who fosters the accountability of others and lead robust project management for complex healthcare projects.
You will work closely with the leadership team to ensure that all contractual obligations are met, contractual risks are mitigated, and project documentation is meticulously organized and processed. Ultimately, you will contribute to the successful delivery of our projects and internal processes, keeping the team informed and on track with contractual deliverables and regulatory requirements.
Select key responsibilities:

Project Management

  • Develop detailed work and resource plans, in alignment with scope, schedule and budget, adjusting schedules as required to ensure timely completion of deliverables within complex healthcare projects.
  • Manage project delivery, ensuring design reviews are completed as required throughout the project lifecycle.
  • Create, update and maintain detailed project plans (Smartsheet), overseeing multiple projects simultaneously.
  • Oversee financial management of projects, including reviewing and updating fee proposals and collaborating with our internal finance team to support billing collections.

Data and Document Management

  • Review and interpret project contracts, ensuring that documentation is completed and aligns with contractual obligations.
  • Coordinate contract deliverables, ensuring that all parties adhere to agreed timelines and quality standards.
  • Input project related data into applicable systems, and forms following both internal processes and ensuring external project collaborators provide the required information in a timely manner.
  • Work closely with the project lead team to maintain accurate records of all required documentation, ensuring that all documentation complies with company standards and applicable regulatory requirements.
  • Track and monitor upcoming deadlines for contractual deliverables, ensuring that the team is aware of and prepared for all key dates.
  • Coordinate and submit required documentation for contract closeout, including final inspections, certifications, and warranties.
  • Oversee and support contract administration, including submittal reviews, Additional Services Requests, Request for information management, payment certification, and project close-outs.

Technical Expertise

  • Champion the integrity and excellence of design details and sustainable technical solutions throughout the project lifecycle.
  • Identify and resolve construction-related issues promptly and efficiently, providing technical support and guidance to the construction team as needed.
  • Lead teams in preparing conceptual design packages, presentation, schematic design development, and construction documents for complex healthcare projects.
  • Establish and verify compliance with relevant building codes, planning regulations, heritage, safety, and environmental standards across all project stages.
  • Model consistency in the application of project standards and KPMB standards.
  • Make recommendations and resolve both technical issues and design challenges as they arise within the project.

Risk Management:

  • Identify potential risks related to contract execution and bring awareness to the project management team to implement strategies to mitigate these risks.
  • Conduct reviews to ensure compliance with all stakeholder requirements and coordinate the delivery of any required compliance documentation.
  • Monitor project scope creep and facilitate Additional Service Requests as required, flagging issues to Project Leads.
  • Ensure that any changes to the project scope (change requests) are tracked, documented, communicated, and reflected in updated contract agreements.

Stakeholder Communication:

  • Take lead role in internal and external meetings, ensuring all action items are clearly understood, documented and distributed to relevant stakeholders.
  • Manage communication with client and other external stakeholders, ensuring updates are communicated in a timely manner and addressing concerns to foster strong relationship development.
  • Maintain accurate and detailed records of all contract-related communications, amendments, and approvals.
  • Prepare and present reports on contract performance, progress, and any issues that may impact project timelines or costs, or contractual obligations.

Candidate Profile + Qualifications

  • Bachelor’s or Master’s degree in architectural studies coupled with explicit Project Management experience
  • PMP Certificate is considered an asset.
  • A minimum of 8 years of experience in project management within architectural projects, with particular emphasis in complex multi-stakeholder institutional work and ideally including significant healthcare project experience.
  • Experience in all project phases, including client communication, consultant coordination, design development, drawing review, and contract administration.
  • Knowledge of Capital Planning processes and compliance with Ministry of Health guidelines would be beneficial.
  • Proficiency with MS Office Suite, Smartsheet, Bluebeam and Revit.
  • Ideal candidate would also have proficiency in Rhino, BIM360 and Adobe Creative Cloud.
  • Outstanding organizational, project management, financial project literacy, and administrative skills.
  • Ability to work well in a collaborative team environment, with both internal and external stakeholders.
  • Excellent verbal and written communication skills with the ability to communicate persuasively to ensure the collection of documentation and help move projects along.
  • Strong problem solving and critical thinking skills, with demonstrated success in managing architectural projects.
  • A self-starter who is noted for being solid in delivery, with the skills and knowledge required to effectively plan, organize and oversee a project from start to finish.

Salary:
Compensation stars at an annualized base salary of $100,000.00 and is commensurate with experience.
Transportation and bike storage:
A daily free shuttle bus between union Station and KPMB’s office is provided for all staff who use the subway system or GO transit, from Monday to Thursday. Underground bicycle parking is also available
