This position is 100% onsite at our Orange, CA office. Position Summary The Project Manager – Multifamily Production plays a critical role in leading architectural projects from inception through completion. This position is responsible for ensuring projects are delivered on schedule, within scope and budget, invoiced accurately, and collected in a timely manner. As a key member of AO’s leadership team, the Project Manager partners closely with clients, architects, engineers, contractors, and internal teams to deliver successful outcomes and ensure a high level of client satisfaction. At AO, the Project Manager has full accountability for managing all aspects of multiple projects. This includes strategic planning, project execution, team coordination, financial management, client communication, and administrative oversight. The Project Manager serves as the primary client liaison and is responsible for bringing schedules, budgets, scope, and deliverables to completion in alignment with client expectations and firm standards. Key Responsibilities Project Leadership Develop and oversee comprehensive project plans, including scope, schedule, budget, staffing, and resource allocation. Prepare strategic plans to ensure the successful execution of assigned projects. Client Management Serve as the primary point of contact for clients. Build and maintain strong client relationships while addressing issues and aligning project outcomes with client goals. Team Leadership & Coordination Lead and coordinate multidisciplinary project teams including architects, designers, engineers, consultants, and contractors. Foster collaboration, clear communication, and accountability throughout the project lifecycle. Provide mentorship and professional guidance to junior staff. Financial Management & Collections Develop fee estimates, define project scope, and assist with proposal and contract preparation in coordination with Project and Legal Administrative support. Monitor project budgets, manage costs, and track expenses. Support invoicing and actively assist with accounts receivable collections to ensure timely resolution and payment. Schedule & Work Planning Create, monitor, and maintain project schedules. Identify potential risks or delays and implement corrective strategies. Quality Assurance Ensure all deliverables meet AO’s quality standards, design intent, and client expectations. Construction Administration Support construction administration activities, including site visits, responding to RFIs, and reviewing submittals. Risk Management & Compliance Identify project risks and develop mitigation strategies. Ensure permitting, approvals, and compliance with applicable building codes and regulations. Documentation & Reporting Oversee preparation and coordination of drawings, specifications, contracts, and reports. Provide regular progress reports and presentations to clients, leadership, and stakeholders. Organizational Collaboration Work collaboratively with Functional Areas, Project Administration, and AO‑sanctioned committees. Demonstrate understanding and adherence to firm standards, procedures, and leadership guidance. Qualifications Bachelor’s or Master’s degree in Architecture, Engineering, Construction Management, or a related field. Minimum 5 years of experience as a Project Manager in an architectural services firm or related industry. Proficiency in Revit and other industry‑standard project delivery software. Strong knowledge of architectural design principles and construction processes. Demonstrated experience with building codes, regulations, and permitting processes. Excellent leadership, communication, and interpersonal skills. Strong problem‑solving, critical thinking, and decision‑making abilities. Why AO?
