ABOUT US:

The Narrow Group is an alternative and fun-loving organization operating at the crossroads of hospitality and the arts. We currently manage 5 restaurants and 11 unique artist spaces across Vancouver, BC. Our spaces are built for creativity, community, and connection. We’re looking for a proactive, organized, and community-minded Artist Space Coordinator to help us manage and grow our network of artist spaces.

REQUIREMENTS

  • 1+ years of related experience
  • Familiarity with tools like DoorLoop or similar property management software is considered a strong asset
  • Strong written and verbal communication skills
  • Valid BC driver’s license with a clean driving record
  • Ability to lift 30+ lbs and move through unconventional or aging building environments
  • Comfortable managing tenant relationships, maintenance coordination, and sensitive situations
  • Experience supporting inclusive work and community spaces is a strong asset

Responsibilities

ABOUT THE ROLE:

As the Artist Space Coordinator, you’ll be at the operational and administrative heart of a growing network of artist studios and creative spaces. You’ll oversee the systems that power daily operation, including but not limited to leasing, tenant services, property oversight, and event coordination. You will help balance and ensure organized workflows, strong relationships, and vibrant, well-maintained spaces.
This is a hands-on, detail-oriented role that blends regular site visits with independent administrative work. You’ll act as the bridge between creative communities and the business systems that support them. It is also a role that requires clear communication, good follow-through, and confidence navigating fast-paced, evolving environments.

KEY RESPONSIBILITIES

Operations & Administration

  • Maintain accurate records of leases, rent rolls, payments, keys, and access systems
  • Manage schedules, timelines, and communication across tenants and internal teams
  • Use systems like DoorLoop (or similar) to track leasing, unit status, and documentation
  • Monitor building timelines, lease expirations, and support strategic occupancy planning
  • Ensure operational processes are consistent, efficient, and up-to-date
  • Help out with varying administration and operational tasks

Leasing & Tenant Coordination

  • Manage leasing cycle: onboarding, showings, move-ins/outs, evictions
  • Facilitate rent collection and issue late notices when necessary
  • Track lease expirations and support renewals or adjustments
  • Serve as the primary point of contact for tenant communications
  • Handle tenant concerns, unauthorized use, and mediate conflict when needed

Facilities & Property Oversight

  • Conduct regular walkthroughs of all properties and shared spaces
  • Track and coordinate maintenance, repairs, and upgrades
  • Liaise with trades, contractors, internet/electrical providers, and service vendors
  • Support compliance efforts and communicate with the City of Vancouver as needed
  • Ensure cleanliness, safety, and building performance standards are met

Community Building & Engagement

  • Foster a respectful, inclusive, and positive environment for all tenants
  • Coordinate shared events, open studios, and community engagement initiatives
  • Build relationships with local festivals, arts organizations, and creative partners
  • Champion diversity, creativity, and connection within the tenant community
  • Support and activate cultural events and festivals as assigned
