This role supports both inventory and accounting functions across all McGrew Management affiliates — McGrew Equipment Company, Crownstone Equipment, and Iron Road Logistics. The Asset Administrator plays a key role in managing asset records, tracking inventory, processing inventory-related payables, and ensuring accurate financial reconciliation. This role ensures accurate inventory records, monitors asset movement, processes inventory-related accounts payable transactions and performs account reconciliations to support overall financial accuracy. This position works closely with inventory management to maintain efficient asset and inventory management processes.     Essential Duties & Responsibilities To perform this job successfully, an individual must be able to satisfactorily perform each of the essential duties listed below. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Maintain accurate records of all whole goods inventory (new, used, and rental equipment, including attachments) within the operating system, ensuring completeness and real-time accuracy. * Load new assets into the system and work directly with manufacturers and vendors to resolve invoice discrepancies and documentation issues. * Coordinate procurement of new equipment through direct orders and dealer transfers to support sales and rental operations; monitor order status with manufacturers through delivery. * Track overall inventory (excluding fixed assets), including reviewing cycle counts submitted by branch locations and assisting in discrepancy resolution. * Support and assist with floor plan audits, ensuring proper documentation and compliance with lender requirements. * Process inventory-related vendor invoices, including proper coding, documentation, and approval routing; assist with payment coordination as needed. * Monitor and track asset location, status, and movement across all facilities, updating records as changes occur. * Perform account reconciliations for inventory and asset-related general ledger accounts to ensure financial accuracy. * Partner with accounting on asset capitalization, reporting, and overall financial alignment * Prepare and distribute inventory and asset-related reports to executive leadership, sales teams, and other stakeholders. * Identify and implement process improvements to enhance asset tracking, reporting, and overall operational efficiency. * All other duties as assigned. Educational & Experience Requirements * High school diploma or equivalent required; associate or bachelor’s degree in Accounting, Business, or related field preferred * 2+ years of experience in inventory management, asset management, accounting, or a related role * Experience with accounts payable processing and account reconciliations preferred * Proficiency with accounting or ERP systems * Strong attention to detail and accuracy in high-volume environments * Strong organizational and time-management skills with the ability to manage multiple deadlines Preferred Qualifications * Experience working in a supply-chain, inventory-based, or multi-location business * Knowledge of equipment, fleet, or whole goods inventory tracking * Intermediate Excel skills (VLOOKUP, pivot tables, basic formulas) * Experience working in a multi-company or shared-services environment   Essential Physical Requirements While performing the duties of this job, the employee is regularly required to talk and hear.
