Description

Purpose
The primary purpose of this position is to build a team that will allow Fremont Federal Organization to live our Mission to deliver the Best Advice, Best Service, and Best Products to promote healthy financial living. To accomplish this effort this position must build and lead a team that will deliver outstanding service to members and team members in alignment with our established Service Standards. In addition, e nsures the credit and collection practices and policies/procedures of the credit union best serve the credit union and its members.
Essential Functions
1. Lead and Coach employees by developing each to their highest potential by identifying their areas for improvement and appropriately coaching, training, or correcting the employees’ performance.
2. Recognize employees who perform at a high level. Hold employees accountable for their performance, attitude, and behavior.
3. Inspire and motivate others to perform well.
4. Meet with each employee one-on-one regularly to review previous performance, set goals for performance and develop plans to improve employee’s performance.
5. Demonstrate enthusiastic support of mission, values, and long-term objectives.
6. Ensure team consistently exceeds minimum expectations in service delivery.
7. Perform annual reviews in a timely and consistent manner.
8. Create monthly department schedules and approve staff timecards, authorize overtime, and coordinate staff time off.
9. Ensure that credit and collection policies, procedures, and practices and documentation meet federal and state regulations.
10. Assign, monitor, and supervise the workload in the Collections department to ensure the smooth and efficient flow of work. Ensure the courteous and considerate interface with members.
11. Establish and monitor effective control procedures for late and/or delinquent or potentially delinquent loans.
12. On an On-going basis, communicate and monitor the requirements to staff in collections procedures to protect the credit union’s interests. Train staff on policies and procedures that adhere to the Collections Department.
13. Review accounts where action beyond routine collection procedures must be approved or implemented. Handle complex situations. Resolve difficult or non-routine member issuers.
14. Authorize legal proceedings. Review default notices, surrender notices, bankruptcy procedures, foreclosure notices, etc. for accuracy and completeness.
15. Review all accounts thar are to be written off as uncollectible.
16. Develop and review accurate reporting procedures on collection activities. Prepare and analyze reports for senior management and the Board.
17. Establish and maintain effective employee relations.
18. Prepare, implement, and supervise the budget/projection for the Collections department.
19. Evaluate the job performance of subordinates to ensure quality work and service to members.
20. Apply and evaluate policies and procedures for the department to ensure consistency. 21. Maintains regular and reliable attendance.
Other Duties
1. Assist staff or members in solving complex account problems or issues
. 2. Maintain current knowledge of laws, regulations, and credit union industry changes
. 3. Develop and coordinate collections training for credit union staff as needed on an on-going basis.
4. Hold collection staff accountable for productivity and established goals.
5. Provide a high degree of service to members, potential members, and all third-party agencies.
6. research member questions and inquires and respond to them in a timely manner.
7. Maintain a clean and organized work area and safeguard all confidential materials.
8. Perform special assignments and other duties as directed. Qualifications These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. Preferred Experience
High School Diploma required. Bachelor’s Degree or equivalent experience preferred. Five years’ experience in the Collections / Asset Recovery area.
Supervisory experience.
Skills/Abilities Highly developed communication skills needed, both written and verbal, to communicate with members and employees clearly and concisely, and all levels of management, staff and vendors. A high degree of interpersonal skills is required. Well-developed verbal and written communication skills, member relations and interpersonal skills, accurate data input skills, and knowledge of credit union policies and procedures. Knowledge of current regulations and compliance issues regarding collection practices as well as credit union products. Ability to organize and prioritize tasks in a flexible environment and to work on more than one task at a time. Ability to work independently with minimal supervision. Ability to handle pressure of meeting deadlines. Responsible for producing high quality work. Supervisory skills. Ability to make decisions in a timely manner with appropriate support, justification, and follow-up. Ability to accomplish all branch operation requirements and goals. Advanced knowledge of Microsoft Office applications including Outlook, Excel, and Word. Advanced skills in using computers and related equipment, 10-key calculator, multi-line telephone/intercom systems, and a variety of general office equipment including copy machines, scanners, and fax equipment. Maintain strict confidentiality in dealing with credit union personnel and member information. Light travel is required for branch visits and training may be necessary. Decision Making Responsible for making timely decisions regarding collection efforts, charge-offs, legal actions, and member resolutions within established policy.
Financial responsibilities This position requires constant attention to detail to minimize losses to the credit union through proactive asset recovery and adherence to risk management protocols. Maintains a cost-effective budget/projection for the Collections Department.

Ability to work overtime, attend meetings, seminars, and travel. Must have a valid driver’s license and have operable transportation for the performance of the duties of this position. Travel time may be required for collection runs, court appearances, repossessions, meetings, and training sessions. Working Conditions Work is performed primarily indoors with some potential for exposure to safety and health hazards related to electronics work. May require periodic travel between branches. There is exposure to potentially hazardous conditions such as robbery. Employees are to receive detailed instructions and procedures to follow to minimize risk.
