TITLE: Assistant Bookkeeper / Records Secretary
QUALIFICATIONS: Minimum High School Diploma or equivalent
- Strong communication skills, Microsoft Office knowledge, established typing skills and strong organizational skills
- Knowledge of general accounting procedures
- Strong math skills
REPORTS TO: Director of Special Education or designee.
STANDARD #1: Service Delivery
The Assistant Account Manager understands the general concepts of inter-office workings and uses organizational, problem-solving and performance skills to enhance the work environment.
- Maintain the necessary bookkeeping/personnel files, records, ledgers and the various accounts established for OCEC operations. Utilize the specified computerized bookkeeping system as appropriate.
- Prepare monthly expenditure reports and other necessary or requested reports to keep the executive director and Executive Committee informed of budgetary status/concerns.
- Prepare and distribute checks for payment and monthly board report as approved by the OCEC Executive Committee.
- Prepare the payroll for OCEC at the required times which includes withholding appropriate deductions for I.M.R.F., T.R.S., federal withholding tax, State withholding tax, social security, annuities, etc.
- Prepare billing statements as appropriate.
- Prepare and send in all claims/requests for monies from all federal grant projects and other revenue sources as is necessary.
- Prepare documents for annual audit review.
- Perform all other duties pertinent to the fiscal management of the Cooperative.
- Prepare and submit in a timely fashion all necessary state reports such as Maintenance of Effort, IDEA Expenditures , Private Facility Expenditures etc.
STANDARD #2: Collaborative Relationships
The Account Manager uses effective communication techniques to foster collaboration and supportive interaction among professionals, parents and community members.
- Display positive public relation qualities when interacting with office staff and community members.
- Create, develop and sustain relationships with OCEC personnel.
- Work collaboratively with the Executive Administrative Assistants of local districts on activities related to cooperative finances.
STANDARD #3: Professional Conduct
The Account Manager maintains standards of professional conduct and provides leadership to improve Cooperative well-being.
- Adhere to OCEC policies and procedures.
- Perform other duties deemed by the OCEC Director of Special Education or designee as necessary for the operation of the cooperative.
- Maintain an orderly work environment.
- Maintain confidentiality of information.
STANDARD #4: Reflection & Professional Growth
The Account Manager continually evaluates how choices and actions affect students, parents, and other professionals in the community and actively seeks opportunities to grow professionally.
- Utilize a goal setting process to evaluate professional growth.
- Identify and participate in professional growth opportunities.

Pay: $18.00 - $21.00 per hour
