The affiliated Aga Khan University Hospital provides state-of-the-art clinical facilities and well-equipped diagnostic services. The Brain and Mind Institute (BMI) is a newly minted entity at the Aga Khan University (AKU), with key hubs in Nairobi (for East Africa) and Karachi (for South and Central Asia). The BMI seeks to build capacity in the domains of mental health and neuroscience. In collaboration with partners, the Institute is advancing research leadership capacity and support service delivery across East Africa and South Asia, and other regions served by the AKU. The Institute supports a hub for scholarship exchange and action on mental health issues, as well as educational, clinical, and community-based programs. BMI’s research focuses on the context of today’s youth in Africa and South Asia, while our programmatic offerings address mental health related and brain health issues, including stigma and resiliency. A significant area of interest is the implementation of science-based programming in hospital and community settings that translate new discoveries into prevention and treatment programs. This is a grant-funded contractual position. Responsibilities You will be responsible to: assist the associate director and assistant manager in day-to-day administrative and operational activities support in managing travel billing, reimbursements, and ensuring complete submission of relevant documents assist in preparing purchase requisitions and obtaining necessary approvals and signatures to ensure timely provision of services regularly monitor emails and coordinate within the team to facilitate meetings and address queries support the associate director in maintaining action lists and follow-up on assigned tasks schedule and coordinate appointments and follow-up meetings for the associate director arrange logistics for meetings, workshops, events, and conferences coordinate internal documentation, photocopying, and dispatch of official correspondence across AKU departments draft and manage correspondence related to meetings, appointments, and departmental coordination maintain records, meeting minutes, and follow-up trackers to support departmental operations assist the assistant manager and operations committee lead in the planning and coordination of the BMI international conference. Requirements You should have: intermediate or equivalent qualification from a recognised board minimum one year of relevant experience good interpersonal and communication skills basic computer proficiency, particularly in MS Office applications strong organisational and time management skills ability to coordinate meetings, maintain records, and manage documentation efficiently.
