Description Assists in the management of the apartment community by performing the following duties personally or through subordinates. The Asst. Building Coordinator is responsible for the physical and financial operation of the assigned property, in keeping with the site goals and compliance standards with federal, state, and local regulations. Operates in accordance with Charlesgate policies and procedures. Leasing Conducts preliminary and secondary screenings of prospects, applicants, and residents Conducts property tours Financial Maintains accounts receivable records Prepares budget variance reports as requested Operates property with financial guidelines Prepares delinquency reports Prepares and approves HUD vouchers (if applicable) Maintains petty cash fund Administrative Prepares RIHMFC compliance reports (if applicable) Prepares DEA compliance reports (if applicable) Schedules appointments, gives information to callers, composes and types correspondence, reads and handles incoming mail, files Maintains property documents and records Responds to agency inspections (if applicable) Maintains wait lists and traffic reports Maintains property computer accounts and records Prepares vacancy, collection, turnover, and other statistical reports Maintains office appearance General Operations Responds to and documents resident grievances, incidents of injury, and requests for services. Makes RSC referrals Schedules apartment turnover and communicates to RSC and Maintenance Initiates legal action for lease noncompliance Inspects property & units Assesses equipment and supply needs and requests necessary purchases Assesses resident need for RSC interventions (if applicable) and makes appropriate referrals. Notifies RSC of Buildings activity through daily operations meeting. Attends organizational meetings as deemed necessary by immediate supervisor Collects rents in accordance with terms of lease agreement Secures lease renewals Conducts new resident orientation and move-in During orientation, introduces resident to RSC for RSC program introduction Maintains positive resident relations Controls vacancy downtime Ensures posting of all licenses and notices required by local, state and federal jurisdiction Assigns resident charges (as necessary) Monitors lease enforcement Monitors work order progress Knows all laws and ordinances pertaining to property operations and staff supervision Works with the pest control vendor to manage the building pest control plan Requirements EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED); or twelve months related experience and/or training; or equivalent combination of education and experience. LANGUAGE SKILLS English - Ability to read, analyze, and interpret common technical journals, financial reports, and legal documents. Ability to respond to common inquires or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or resident groups. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions and deal with several abstract and concrete variables. CERTIFICATES, LICENSES, REGISTRATIONS Certified Occupancy Specialist or equivalent. Certificate in tax credit compliance or equivalent. Certified Fair Housing manager or equivalent. CRIMINAL BACKGROUND Local, state and federal Background Criminal Investigations (BCI checks) must be valid with no history of criminal activity. ATTENDANCE The position requires the ability to work any of the seven days of the week, 52 weeks of the year. Individuals must be able to consistently work their scheduled hours and, if necessary, work overtime hours. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to walk; sit; use hands to finger, or feet; and talk or hear.
