POSITION OVERVIEW:

The Assistant Controller plays a key role in overseeing day-to-day accounting operations and supporting the Controller in managing the financial health of the organization. This position is responsible for preparing and analyzing financial statements, leading month- and quarter-end close processes, overseeing payroll and transaction processing, and ensuring compliance with accounting standards and regulatory requirements. The Assistant Controller also contributes to budgeting, forecasting, audit preparation, and the continuous improvement of financial processes and controls across multiple entities.

QUALIFICATIONS & SKILLS:

Education & Experience

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 3–5 years of progressive accounting experience, preferably with multi-entity or intercompany accounting.
  • Professional designation (CPA or in progress) is required.
  • Strong knowledge of Accounting Standards for Private Enterprises (ASPE), accounting principles, financial reporting, and regulatory requirements.
  • Experience with QuickBooks Online (QBO), QB Time, Rise, or other financial/time-tracking systems/software is an asset.

Technical Skills

  • Proficiency in accounting systems and Microsoft Excel (advanced functions for reporting and analysis).
  • Strong understanding of payroll, accounts payable/receivable, and general ledger management.
  • Ability to prepare and analyze complex financial statements and reconciliations.

Soft Skills

  • Strong attention to detail, accuracy, and organizational skills.
  • Analytical mindset with the ability to interpret financial data and provide actionable insights.
  • Strong analytical skills and the ability to translate complex financial information for operational leaders.
  • Excellent communication and interpersonal skills for cross-functional collaboration.

Responsibilities

Financial Reporting & Analysis

  • Prepare, analyze, and reconcile financial statements and reports (income statement, balance sheet, cash flow) for review by the Controller.
  • Prepare forecasts, budgets, and financial projections.
  • Analyze financial data to identify trends, variances, and areas for improvement, providing insights to support business decisions.
  • Ensure compliance with accounting standards, company policies, and regulatory requirements.

Month-End & Quarter-End Closing

  • Lead closing activities, including journal entries, reconciliations, accruals, prepaid, amortization, and other adjustments.
  • Maintain accurate and complete general ledger accounts, including intercompany accounts between DLs, Pan-Insula, and SIO.
  • Provide supporting schedules and documentation for reporting and audits.

Transaction Processing & Payroll

  • Oversee accounts payable, accounts receivable, payroll, fixed asset management, and bank deposits.
  • Validate payroll processes (Pan-Insula, DLs, SIO) before submission.
  • Set up new employees in accounting and time-tracking systems (QBO, QB Time, Rise, or other similar applications).
  • Perform daily bank reconciliations across multiple accounts.

Compliance & Controls

  • Prepare and file tax returns and regulatory reports as required.
  • Support external audits by preparing schedules, gathering documentation, and addressing inquiries.
  • Assist in developing, implementing, and monitoring internal controls and financial procedures.

Systems, Processes & Team Support

  • Enter and manage financial data in accounting systems, ensuring accuracy and completeness.
  • Identify and recommend improvements to financial processes, systems, and internal controls.
  • Support the implementation, maintenance, and troubleshooting of financial systems/software.
  • Provide guidance and training to other finance team members as needed.

Other

  • Assist with cash flow monitoring to ensure liquidity.
  • Maintain organized and accurate financial records and documentation.
  • Perform other accounting and finance duties as assigned.
