Description

The primary responsibility of this position is to design, implement and oversee delivery of admissions and recruitment processes for one or more of the 4+ residential programs offered by the Graduate & Executive Education area of the Haslam College of Business.

In this role, the Assistant Director of Admissions & Recruitment will work actively with internal and external university partners to launch and monitor the complex and inter-connected programs that support recruitment initiatives for future classes. The successful candidate for this position will have specific expertise in the graduate education needs of working professionals as well as digital marketing, sales, and more traditional methodologies of overall admissions and recruitment. The Assistant Director of Admissions & Recruitment works independently on complex issues such as optimizing overall lead flow through outsourced program-specific business development efforts including digital marketing, enrollment advisor support, and general recruitment project management. This position is responsible for the interpretation and application of lead source data and marketing metrics, as well as ensuring its appropriate use in allocating budgets for future recruitment and admissions efforts.

  • Operations:
  • Performs all aspects of coordination and planning for recruitment and admissions processes for programs within the assigned area of responsibility.
  • Plans procedures, processes, services, and systems related to lead generation, alumni lead referral, and overall recruitment processes.
  • Identifies opportunities and develops new initiatives for programs for assigned program(s) within GEE.
  • Reviews policies and requirements to ensure compliance with Haslam branding guidelines and UTK Graduate School admission standards.
  • Identifies and investigates process delays and solves problems with prospective students, program Directors/Managers and UTK Graduate Admissions.
  • Leads the daily operations for assigned program(s) related to recruitment initiatives.
  • Engages in cross-functional training and networking to facilitate adoption of business development methods with proven success in other programs. Modifies methods to drive desired outcomes for recruitment efforts for assigned program(s).
  • Coaches and mentors other program staff and directors in recruitment-related efforts.
  • Researches, identifies, and proposes new opportunities to expand program efforts.
  • Participates in new business development program idea generation, implementation, and evaluation.
  • Promotes business development for the assigned program(s) and works with external constituents to facilitate these efforts.
  • Administration:
  • Selects methods, techniques, and evaluation criteria for programs used to support lead generation and other specified GEE objectives, including attainment of enrollment goals.
  • Uses innovative solutions to increase efficiency and/or resolve issues, including modifying program efforts when competing policies and/or objectives are present.
  • Develops marketing plan and related budgets and contracts for review by GEE executive team leadership and submission to the appropriate university office and/or vendor.
  • Ensures the accuracy of submissions on all applications for admission.
  • Leads the development of program-specific messaging in collaboration with program staff and external vendors.
  • Interprets requests for information and/or support by vendors, prospective students, etc. and determines how best to meet these needs, including when and where to submit any needed reports, forms, and/or documents.
  • Investigates and mitigates potential negative impacts of routine challenges related to recruitment efforts. Negotiates terms and conditions if necessary to resolve problems (examples: digital marketing effectiveness, technical issues with CRM or Slate, etc.).
  • Administers contract agreements with key suppliers and works with appropriate parties on any needed corrections.
  • Acts as a liaison between the university and external stakeholders, specifically external business development vendors, prospective applicants, and corporate partners.
  • Data Analytics:
  • Gathers, compares, and analyzes lead source and other data to make recommendations for future operations and program efforts.
  • Gathers, analyzes, and synthesizes data to create complex reports such as the weekly admissions profile and lead source reporting.
  • Conducts needs assessments and analysis of work effectiveness such as the CRM lead analysis.
  • Financial:
  • Supports development and administers budget for business development efforts.
  • Directs the financial activities related to business development, with final approval by program director.
  • Submits proposals to secure funding.

REQUIRED QUALIFICATIONS

  • Education:
  • Bachelor’s degree required
  • Experience:
  • 3-5 years of experience in admissions, recruitment, or a related field
  • Experience analyzing data and generating reports to inform decision-making
  • Knowledge, Skills, Abilities:
  • Demonstrated knowledge of applicable marketing, sales, and admissions and/or recruitment processes.
  • Demonstrated knowledge of the working professional, particularly as it relates to higher education needs.
  • Excellent communication skills through multiple means. (public speaking, writing, and one on one).
  • Analytical skills.
  • Ability to establish and maintain effective working relationships with individuals and groups.
  • Ability to successfully work as a member of a team.
  • Ability to provide work direction to alumni volunteers and peer/support staff.

PREFERRED QUALIFICATIONS

  • Education:
  • Master’s degree preferred
  • Experience:
  • 6+ years of relevant experience, or an equivalent combination of education, training, and experience.
  • Experience using recruitment and admissions systems, such as Slate, and familiarity with CRM tools.
