Description Department: Extension Programs Job Status: Full-Time FLSA Status: Exempt Reports To: Director of Extension Programs Grade/Level: N/A Amount of Travel Required: Minimal travel required Work Schedule: Primarily 8:00 am–5:00 pm with some evening and weekend responsibilities Positions Supervised: Student Workers Position Summary: The Assistant Director of Extension Programs supports the Director in managing and leading Benedictine College’s extension programs and centers. This role involves overseeing program operations, budget management, event coordination, fundraising, and staff supervision, while ensuring high-quality delivery of programs, events, and outreach initiatives. The Assistant Director exercises independent judgment and decision-making on matters of significance and serves as a key leader in program development and implementation. Essential Functions: Program Leadership and Management: Take ownership of assigned programs, including multi-day retreats, international trips, and large-scale events. Develop, plan, and implement programming in alignment with the College’s mission and strategic goals. Manage program budgets, monitor expenses, and approve expenditures within assigned authority. Serve as a primary point of contact for program stakeholders, including students, faculty, community partners, and external vendors. Event Coordination and Logistics: Plan, coordinate, and execute events, workshops, conferences, and trips, including travel, accommodations, catering, and site logistics. Ensure smooth operations of all program events, providing high-quality hospitality to participants and guests. Staff and Student Supervision: Oversee student workers, ensuring tasks are completed accurately and on schedule. Provide mentoring, guidance, and performance feedback to student fellows in alignment with program goals. Administrative Support and Reporting: Maintain accurate records of budgets, receipts, rosters, and communications. Prepare reports, program summaries, and performance metrics for internal and external stakeholders. Marketing, Communications, and Outreach: Draft content for newsletters, websites, social media, and promotional materials related to programs and events. Identify compelling stories and program successes for College-wide communications. Fundraising and Donor Engagement: Support fundraising initiatives for programs and centers, including planning and executing donor events. Assist in identifying potential donors, developing proposals, and coordinating communications with Advancement. Collaboration and Coordination: Work closely with the Director, Advancement Office, and President’s Office to support program initiatives and strategic priorities. Serve as a liaison to other offices and departments to ensure smooth program operations and integration with College-wide activities. Requirements Position Qualifications: Education: Bachelor’s degree required. Experience: Minimum of one year of event planning or higher education experience in student services, program coordination, administrative management, or fundraising. Competencies: Strong organizational, planning, and problem-solving skills; ability to manage multiple projects and priorities; excellent oral and written communication; strong interpersonal skills and the ability to build relationships across diverse populations; leadership and mentoring skills; ability to exercise discretion and independent judgment on matters of significance. Other Requirements: Occasional evening and weekend work required. Ability to travel as needed for program oversight and events.
