POSITION SUMMARY The Assistant Director of Sales plays a critical role within the Sales Department, supporting occupancy and revenue goals by managing day-to-day sales operations, lead follow-up, relationship management, and the resident move-in process. This position is highly focused on database integrity, consistent communication, event execution, and delivering a seamless, hospitality-driven experience for prospects and new residents. ESSENTIAL JOB FUNCTIONS Mission & Culture Supports and actively promotes the mission, vision, values, and culture of the organization. Upholds the community’s hospitality standards in all interactions with prospects, residents, families, and team members. Lead Management & Database Maintenance Works closely with the Director of Sales to maintain the sales database/CRM, ensuring all leads, notes, tasks, and follow-ups are accurate and current. Ensures timely documentation of all prospect interactions including calls, tours, emails, texts, events, and visits. Audits database regularly for accuracy, completeness, and compliance with sales standards. Generates and distributes sales reports as requested (lead activity, conversion rates, pipeline status, follow-up compliance). Communication & Follow-Up Conducts consistent and personalized phone, text, and email follow-up with prospects and families across all stages of the sales funnel. Responds promptly to inbound inquiries and ensures no lead goes uncontacted. Coordinates appointment confirmations, tour reminders, thank-you communications, and post-tour follow-up. Serves as a primary point of contact for prospects when the Director of Sales is unavailable. Relationship Management Builds meaningful, trust-based relationships with prospective residents and their families through ongoing communication and engagement. Maintains strong internal relationships with operations, dining, activities, maintenance, and nursing teams to ensure alignment and a cohesive resident experience. Supports resident retention efforts through relationship-based touchpoints, events, and communication. Assists with referral source communication and follow-up as directed. Event Planning & Execution Assists in the planning, coordination, and execution of community sales and marketing events (open houses, luncheons, happy hours, educational seminars, themed events, etc.). Manages event logistics including invitations, RSVPs, follow-up, tracking attendance, and post-event communication. Collaborate with the Director of Sales and marketing team to ensure events align with brand standards and occupancy goals. Move-In Coordination & Resident Experience Coordinates the move-in process from deposit to move-in day, ensuring a smooth, organized, and welcoming experience. Works closely with operations and maintenance to coordinate apartment readiness, timelines, and special requests. Communicates move-in details clearly with residents, families, and internal teams. Other Responsibilities Performs other duties as assigned that contribute to the success of the community and the care, comfort, and happiness of residents. EXPERIENCE, QUALIFICATIONS & SKILLS Bachelor’s degree preferred in business, marketing, communications, hospitality, or a related field. Minimum of 2–4 years of experience in sales, customer service, hospitality, or senior living preferred. Strong organizational skills with exceptional attention to detail and follow-through. Excellent verbal and written communication skills; professional, warm, and empathetic communication style. Proven ability to manage multiple priorities, deadlines, and relationships simultaneously. Experience with CRM/database management required. Proficient in Microsoft Office products (Excel, Word, Outlook); comfortable learning new systems and technology. High emotional intelligence with the ability to navigate sensitive family conversations. Strong understanding of hospitality-driven sales and customer experience. Availability to work evenings and weekends in support of events and sales activities as needed.
