POSITION OVERVIEW:

We are seeking a detail-oriented, bilingual (English/French) Administrative Assistant to join our team. The ideal candidate will bring excellent organizational skills, strong interpersonal abilities, and a commitment to delivering friendly, customer-focused service. This role is essential in ensuring the smooth day-to-day operations of the school and test center.

REQUIRED QUALIFICATIONS:

  • Fluent in English and French (spoken and written)
  • Proven experience in an administrative or customer service role
  • Demonstrated ability to provide exceptionally friendly and professional customer service
  • Strong organizational skills and attention to detail
  • Comfortable working in a fast-paced, multicultural environment
  • Proficiency in Microsoft Office Suite and general computer literacy
  • College diploma or equivalent (BA is an asset)

PREFERRED QUALIFICATIONS:

  • Previous experience in an educational setting or exam center
  • Familiarity with exam scheduling platforms or student information systems
  • Ability to manage multiple tasks and prioritize effectively

Responsibilities
  • Serve as the first point of contact for students, clients, and exam candidates — in person, by phone, and via email — providing warm, helpful, and professional assistance in both English and French
  • Handle student registrations, exam bookings, and appointment scheduling
  • Maintain and organize records, documents, and digital files with accuracy and confidentiality
  • Manage incoming and outgoing communications, including responding to inquiries and following up on requests
  • Assist with exam day logistics, including candidate check-in, material preparation, and compliance with testing protocols
  • Support the teaching and administrative staff with general office duties, including photocopying, data entry, and supply management
  • Ensure the reception and common areas are tidy and welcoming at all times
  • Contribute to a positive and inclusive environment for clients and coworkers alike
