RESPONSABILITIES

· Validate the information of new orders entered by sales representatives in the Enterprise Resource Planning (ERP) system
· Send order acknowledgments
· Electronically send drawings for approval to certain clients
· Updating orders in the Enterprise Resource Planning (ERP)
· Coordinate the assembly and printing of operation and maintenance manuals, as well as final project drawings
· Handle invoicing during ongoing projects for the Commercial and After-Sales Service departments
· File transport photos and proof of delivery in contract folders
· Organize and plan transportation in collaboration with internal production, logistics partners, and clients, including preparing required documents for transport (Canada and USA) and coordinating pickups and deliveries
· Monitor the department’s email inbox and distribute messages to the appropriate colleagues

REQUIREMENTS

· Education or relevant experience in administrative support, office work, or coordination
· One (1) to three (3) years of experience
· Experience in transportation and/or import/export (customs) is an asset
· Knowledge of an Enterprise Resource Planning (ERP) system is an asset

SKILLS

· Bilingual: excellent command of French and English – the incumbent will communicate with English and French-speaking clients
· Strong writing skills in both languages
· Good priority management
· Proficient in Microsoft Office Suite (Outlook, Word, Excel) and PDF creation/management tools
