INTITULE DU POSTE: Assistant(e) de gestion, Gestion des fonds TYPE DE CONTRAT: Fixed term G4 UNITE/DIVISION: Chaîne d'approvisionnement LIEU D'AFFECTION (Ville, Pays): Djibouti, Republique de Djibouti DUREE: 6 mois SUPERVISEUR: Chargée de logistique (gestion des fonds) PRINCIPALES RESPONSABILITES: 1. Réunir des informations en suivant des orientations claires pour aider d'autres membres du personnel à rédiger des documents et à établir des rapports. 2. Répondre à des questions et faire remonter certains points au niveau supérieur le cas échéant, afin de fournir un service fiable en temps voulu. 3. Aider à traiter et à gérer les tâches administratives et financières courantes dans divers domaines fonctionnels pour contribuer à une gestion efficace et en temps voulu des ressources. 4. Assurer des prestations de révision et de relecture de documents standard pour contribuer à l'élaboration de documents précis. 5. Se charger de la gestion de certains systèmes et fichiers standard pour s'assurer que les informations sont fiables et que le service concerné y a accès facilement. 6. Fournir un appui procédural et technique au personnel dans les domaines de la finance et du budget, afin d’assurer la conformité avec les politiques, règles et règlements financiers du PAM. 7. Tenir à jour le registre de toutes les factures de l’unité et transferts de paiement et archiver les documents, afin de garantir que tous les dossiers soient conservés conformément aux normes et directives du PAM. 8. Fournir des conseils sur le suivi et le traitement des factures au personnel et/ou aux fournisseurs, afin d’assurer une prestation de services cohérente et conforme aux standards requis. 9. Contribuer à la mise en place d’un système de documentation bien organisé (physique et numérique) au sein de l’unité Finance, garantissant un accès facile aux informations clés. 10. Soutenir le classement et l’archivage appropriés des dossiers financiers et des factures en temps opportun. 11. Repérer des anomalies simples dans les statistiques et les données, comme des informations manquantes, et les faire remonter au niveau supérieur pour aider les bénéficiaires des services dans leur travail. 12. Prendre la responsabilité de l'intégrité des données pour faire en sorte que les informations figurant dans les systèmes internes soient fiables. 13. Donner des orientations sur les méthodes et les pratiques courantes d'aide à la gestion aux collègues moins expérimentés pour s'assurer que les services sont fournis de manière cohérente et conformément aux normes requises. 14. Travailler avec des personnes d'horizons divers, en recueillant des informations en retour le cas échéant pour fournir une aide à la gestion au personnel. QUALIFICATIONS ET EXPERIENCE Education: Avoir un diplôme d'études secondaires. Une formation post-secondaire dans le domaine fonctionnel concerné est souhaitable (mais non obligatoire). Experience: Quatre (4) années d’expérience professionnelle pertinente ou deux (2) ans d'expérience avec un diplôme de Licence ou plus. Connaissances et compétences: Rompu(e) à l'utilisation du matériel de bureau et de progiciels tels que Microsoft Word. Connaissance des procédures et des méthodes courantes à appliquer pour mener à bien le travail demandé sous une supervision minimale. Aptitude à faire preuve de tact et de courtoisie lors des échanges d'informations avec des personnes d'horizons divers. Aptitude à repérer des anomalies dans les données et à corriger les problèmes appelant une attention particulière. Aptitude à donner des orientations ou à assurer une formation élémentaire en cours d'emploi à des membres du personnel moins expérimentés. Langue: Maîtrise du français à l'oral et à l'écrit.
