JOB DESCRIPTION

We’re seeking a passionate and detail-oriented Assistant Event Manager to join our team! This role is ideal for someone with 2–4 years of experience who’s ready to take on more responsibility and make a meaningful impact across both the operational and creative aspects of event planning.
You’ll work closely with senior team members to manage logistics, coordinate vendors, communicate with clients, and elevate guest experiences. You’ll also contribute to marketing efforts including content creation, event promotion, and post-event reporting.
This is a full-time permanent position reporting to the Senior Events Manager.

QUALIFICATIONS

  • 2–4 years of experience in events or hospitality. Industry certifications (CMP, CAE, CMM, DES) are a plus.
  • Proficiency with virtual event platforms and registration systems (e.g., Cvent, Erbium, Zoom, Teams, Pheedloop).
  • Strong project management and communication skills.
  • Skilled in Microsoft Office; bonus points for experience with Canva, Mailchimp, Adobe Creative Suite, and social media tools.
  • Willingness to work evenings and weekends as needed.
  • Ability to manage multiple projects with composure and accountability.
  • Creative mindset with an interest in visual and digital storytelling.

BONUS SKILLS

  • Graphic design or content creation experience
  • Experience in managing social media accounts or coordinating paid promotions.
  • Familiarity with B2B audiences and corporate environments
  • Bilingual (English + French, Mandarin, or Spanish)
Responsibilities
  • Support and execute end-to-end event logistics—from initial planning to onsite management and post-event debriefs.
  • Manage multiple events simultaneously, each with unique budgets, timelines, and scopes.
  • Coordinate with third-party vendors, such as venues, AV teams, caterers, and other event suppliers.
  • Track budgets, evaluate event outcomes, and deliver wrap-up reports with actionable insights.
  • Demonstrate leadership and adaptability in fast-changing environments.
  • Make quick, informed decisions when challenges arise.
  • Maintain clear communication with internal and external stakeholders across time zones.
  • Research and propose innovative ideas to enhance event experiences.
  • Assist in creating proposals and presentation pitches under the guidance of the Director.
  • Ability to travel domestically and internationally as required.
