We are now seeking a Special Events Coordinator to join our dedicated team and help shape the next generation of extraordinary events.

REQUIREMENTS

  • Proven experience in event coordination, ideally within a luxury hospitality or heritage venue
  • Exceptional organisational skills and attention to detail
  • Strong interpersonal and communication skills with a flair for building client rapport
  • A passion for creating unforgettable experiences
  • Flexibility to work evenings and weekends as required by event schedules
  • Knowledge of wedding planning, from legal requirements to styling and vendor management, is highly advantageous
  • A proactive, positive attitude with a love for the hospitality industry
Responsibilities

ROLE OVERVIEW

As Special Events Coordinator, you will be the key contact for our guests from initial enquiry through to final delivery. You will work closely with couples, corporate clients, and VIP guests to plan and execute tailor-made events that reflect the historic charm and modern luxury of Dalhousie Castle.
Your focus will be on delivering an exceptional client experience, ensuring that every detail of each bespoke wedding or event is executed flawlessly, in keeping with the prestige and heritage of the Castle.

KEY RESPONSIBILITIES

  • Coordinate and manage weddings, private events, and exclusive use bookings from enquiry to completion
  • Build strong client relationships, offering a personalised and consultative approach to event planning
  • Collaborate with internal departments, including culinary, housekeeping, and spa teams, to ensure seamless event delivery
  • Provide detailed event plans and timelines, and conduct pre-event meetings and on-the-day coordination
  • Maximise event sales opportunities in line with the property’s luxury brand positioning
  • Assist with marketing initiatives to promote the events business, including showcasing the castle at open days and wedding fairs
  • Stay up to date with market trends and contribute to the evolution of our events offering, particularly as we roll out enhancements funded by the upcoming £5 million refurbishment
