Assistant-Executive Administrative (Mid Level)

The Executive Assistant plays a crucial role in supporting the Vice President & General Manager of North America through architecting & executing the effective & efficient coordination of their daily, weekly and monthly activities to assist them in achieving their strategic organizational objectives.

This position reports to the Vice President & General Manager North America, and is part of the North America Commercial Operations team located in Concord, Ontario, Canada. This role will be onsite.

  • Manage executive (s) calendars, prioritizing meetings based on urgency and importance.
  • Manage documentation flow, including signature requests, reports, and all other correspondence. Also oversee electronic approvals and requests on behalf of the executive(s) related to vacation time, legal signatures, staff expenses, purchase orders and check requests, and any other special requests such as drafting communications on their behalf.
  • Coordinate domestic and international travel arrangements; flights, accommodations, transportation including country-specific Visa requirements. Ensure monthly expense reports are submitted by the 15th of the following month.
  • Administer the logistics of on-site, off-site and/or virtual events/meetings with tasks including, but not limited to obtaining RFP’s, contract review and coordination, booking hotel accommodations, coordinating catering and menus, agenda preparation, meeting space and supply set-up, arranging for car service.
  • Experience supporting senior leaders/high-level executives in a corporate environment,
  • Excellent organizational, time and project management skills as well as exceptional attention to detail
  • Highly adept at using Microsoft Office products (Outlook, Teams, Excel, PowerPoint, SharePoint, OneDrive)
  • Maintain the highest level of confidentiality with all executive matters and information.
  • Experience using Oracle, SAP Concur, myCWT, Mirot
