DESCRIPTION

Primary Responsibilities: Manage and administer the day-to-day operations of the Community Association business as a second to the Executive Director. Maintain communication with Board of Directors, Board Appointed Committees, and homeowners.

Skill Requirements:

  • Minimum BA/BS with 5+ years’ experience with Homeowner Association Management, Public Sector Management, or other equivalent experience
  • CAI Certifications and/or a master’s degree is a plus
  • Experience in administrative management, budget development, finance, and insurance
  • Experience working with a Board of Directors
  • Strong computer skills including Microsoft Word, Excel and Adobe
  • Strong written and verbal communication skills
  • Commitment to obtain/maintain CAI designations or equivalent (i.e. CMCA, AMS, and/or PCAM)
Responsibilities

General:

  • Assure that the policies, resolutions and other acts of the Board are carried out
  • Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association
  • Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board of Directors
  • Be available to be on-call to handle after hours emergencies
  • Follow all policies and procedures of the company and Association
  • Such other duties and responsibilities as may reasonably directed and required Administration
  • Maintain and manage the governing documents for the Association
  • Ensure maintenance of all files, records and correspondence in accordance with company procedures and good business practices
  • Attend all Board meetings
  • Collaborate on special projects with the Executive Director as assigned
  • Assist with preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board Packet
  • Serve as Staff Liaison for Board Appointed Committees as assigned
  • Assist with establishing an annual calendar indicating all association activity, deadlines, election, meetings, projects, etc.
  • Oversee the Document Retention Program for Association Records
  • Lead technology and communication efforts with the vendor, community members and associates
  • Assist with preparation of specifications needed for all services received by the Association (e.g., insurance, Phone, IT, software etc.)
  • Work with the Fitness Coordinator to prepare annual event, class schedule, and line-up independent contractors for operational fulfillment through the efforts of the Fitness Coordinator
  • Develop and manage Fitness budget with assistance from the Fitness Coordinator
  • Customer Service:
  • Supervision and training of Customer Service Desk and Fitness Department Associates
  • Supervision of Room Reservation Coordinator and oversight of room usage
  • Supervision of Membership Coordinator
  • Supervision of Customer Services Coordinator
  • Oversight of activity registration and upkeep of registration softwareENVIRONMENTAL REQUIREMENTS
  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
