EDUCATION AND EXPERIENCE:

  • Education and certifications in property management or related disciplines are desirable

Physical Requirements:

  • Sit or stand for extended periods of time in an office environment
  • Able to safely lift, carry, and move up to 30 pounds
  • Ride/ Drive in boat for lakefront inspections

Work Location: The Islands Community Association; 825 S. Islands Drive West, Gilbert, Arizona 85233
Work Hours: Monday – Friday, 8a – 5p with some evenings and weekends as needed.
Travel Requirements: Regular use of personal vehicle for compliance inspections from occasional corporate meetings/trainings and errands for the Association. Eligible for mileage reimbursement at the current IRS approved rates.

Responsibilities
  • Assist the General Manager in managing the business affairs of the community and ensuring compliance with governing documents and policies including regular office tasks of shredding, copying, mail, processing payments, etc.
  • Collaborate with the General Manager and Board of Directors to establish and execute strategic initiatives for the community
  • Communicate regularly with residents through the creation/publication of newsletters, emails, mailings and meetings
  • Coordinate, communicate and supervise community maintenance activities, ensuring proper upkeep of the property, common areas, and amenities
  • Support vendor management, including contract negotiations, monitoring of service quality, and compliance with terms and conditions
  • Collaborate with the General Manager to address resident inquiries, concerns, and work orders ensuring a high level of resident satisfaction
  • Assist in planning, organizing and setup/cleanup of events/meetings not limited to the monthly Board and ARC meeting including special meetings and setup for sub-association/panel meetings and taking meeting minutes when appropriate
  • Planning and execution in a team setting of community events and lifestyle programs including marketing of the event (i.e. fliers, booking vendors, recruiting sponsors).
  • Ensure compliance with federal, state, and local laws, as well as community association governing documents and policies
  • Track non-compliance/violation issues, complete residential and commercial inspections on a routine basis, send appropriate notices according to established policies
  • Foster positive relationships with residents, vendors, and staff, promoting a sense of community and teamwork
  • Stay updated on industry trends, best practices, and legal requirements related to community management including document protocol and retention
  • Updating community resources on the website, resident portal and shared files to be in compliance with proper documentation and retention polices
  • Oversee the exterior modification process (Architectural requests) including but not limited to pre-review of applications, preparation of meeting and decision correspondence
  • Oversee room rental contracts for private use of the community center including walkthroughs, collection of monies, etc.
  • Assist homeowners on a daily basis in an onsite office setting including in person, email and phone calls regarding all association business including registrations, permits, exterior modifications, compliance and general inquiries
  • Become familiar with the financial funding of the community including the operating, enhancements, reserves and investments as well as the knowledge of the association fees including assessment
