Description The Assistant Intake Coordinator is responsible for managing the referrals and the screening, intake and admission of clients in the Victory Programs Inc.’s Recovery Services Division, which consists of 6 Recovery Homes. The Assistant Intake Coordinator reports to and is directly supervised by the Intake Coordinator for weekly supervision and assignments. Essential Functions: Act in accordance with Victory Programs, Inc.’s Standards of Excellence & Philosophy of Care at all times, including maintaining professional ethics, boundaries and client confidentiality. Provide excellent customer service and serve as the point of contact to both referring agencies and individuals seeking treatment in crisis. Answer, screen, and direct calls for individuals and providers seeking to access any Victory Programs’ services, including Recovery Services, Housing Services, and Prevention services. Maintain accurate documentation and record keeping systems, including but not limited to: referral database, referral paperwork, waitlist, and master logs by utilizing electronic health records. Travel to VPI programs as needed to meet with clients and conduct intake procedures. Provide direct quality orientation services to clients. Work closely with the Recovery Division program staff to coordinate admissions and ensure consistent communication. Maintain confidentiality of documents and files. Articulate information quickly and accurately. Provide clear and concise information and be empathetic and respectful of others. Coordinate care with prospective clients and new intakes, including but not limited to linking them to healthcare providers, Medication Assisted Therapy providers (ie: Methadone, Suboxone, Vivitrol, etc.), behavioral health providers, pharmacy, etc. Attend weekly supervision with the Intake Coordinator. Work closely with the Intake Coordinator and Receptionist to ensure the department runs smoothly. Perform other duties or tasks that may be requested by supervisor or other designated personnel. Non-Essential Functions: Participate and support the agency in program events, State House rallies, fundraising and advocacy events, rallies, walks and any additional functions. Perform any other duty or task that may be requested from time to time by your supervisor or their designee. Required Qualifications: High School Diploma or equivalent. Two years of customer service experience. Proficient computer skills, including the use of Microsoft Word and Excel. Professional appearance and excellent telephone manner. Current CPR certification (May be obtained upon hire) Complete TB screening (May be obtained upon hire) Three professional work references, at least 2 from supervisor or manager. Preferred Qualifications: Fluency in Spanish. Bachelor’s degree. Working knowledge of HIV/AIDS and viral hepatitis, homelessness, substance use, STIs, and sex work as well as health-related social issues faced by persons who use drugs. Ability to work independently and cooperatively as a member of a professional team. Strong organizational, writing, and communication skills. Proficient computer skills, including the use of Microsoft Word and Excel and other databases. Position Type: Part-time (24 hours per week). Hours flexible.
