Description

General Administration department strategy is to deliver excellent general administrative services to the whole Bank covering different functions including project management, facilities, logistic and events, admin and central filing, systems, commercial property and security operations, residential and commercial property management. As an Assistant Logistics – Mandarin Speaking, you will be supporting with payment processes, property administration, insurance oversight, supplier coordination, and administrative operations. The role requires maintaining high standards of accuracy, compliance, and efficiency while supporting the Bank’s operational objectives. This is a full time permanent position.

REQUIREMENTS

  • Degree educated in Banking, Finance, Accounting or other relevant subject
  • Experience in Banking, Finance or Accounting
  • Knowledge in purchasing and business expenses procedures
  • Proficient in MS Office (Word, Excel, PowerPoint) skills
  • Excellent English and Mandarin communication skills
  • Excellent organisational skills
  • Ability to manage multiple tasks efficiently within the deadlines
  • Excellent interpersonal skills to liaise with different teams, suppliers and external stakeholders

Responsibilities
  • Oversee payment processing, document handling, and invoices uploads
  • Manage property related tasks, including rent invoicing, utility monitoring, and business rate reporting
  • Administer insurance policies, ensuring timely renewals and efficient claims handling
  • Coordinate supplier accounts, direct debits, and account reconciliations
  • Assist with facility related contracts and verify invoices with contractors
  • Facilitate and support with services such as publication subscriptions, flight bookings, and waste management
  • Prepare correspondence (external and internal) such as memos, letters, reports, agendas, meeting materials and minutes as required
  • Assist with departmental events when required
