Responsibilities

KEY RESPONSIBILITIES

To strengthen our team, we are seeking a dedicated Executive Assistant who combines exceptional organizational skills, strong communication abilities, and a keen eye for efficient administrative processes.
In this diverse role, you will actively shape business processes, coordinate projects, and serve as a central point of contact between internal and external stakeholders. You can look forward to a varied work environment with room for initiative and short decision-making paths.

You will be mainly accountable for:

  • Take ownership of and independently execute defined business processes and programs
  • Research, prepare, and verify information, as well as create reports, presentations, organizational charts, correspondence, and other relevant documentation
  • Ensure effective knowledge and information sharing within your area of responsibility
  • Implement company processes and continuously improve administrative workflows to enhance efficiency and effectiveness
  • Handle internal and external inquiries via phone and email, prioritize issues, and initiate appropriate actions
  • Organize internal and external events, including travel arrangements, bookings, conference registrations, and coordination with speakers
  • Monitor budgets, process purchase orders and invoices, and provide support with other finance-related tasks
  • Digital filing and organization of documents via SharePoint – including platform setup and inviting the relevant people.

QUALIFICATIONS FOR THE ROLE

  • Completed commercial training (equivalent to vocational training in business administration)
  • At least 3 years of professional experience
  • Proficient in SAP, ideally with experience as a Power User
  • Proficient in MS Office
  • Ideally experienced in workflow automation and SharePoint management
  • Business-fluent German and fluent English skills
