We are seeking highly motivated individuals to join our team as Assistant Manager.
Job Description
As an Assistant Manager, you will play a key role in driving operational excellence across various administrative functions in the School of Electrical and Electronic Engineering. This position is based at NTU’s main campus and is part of the school’s central administrative team supporting faculty members.

Key Responsibilities:

  • Provide comprehensive administrative support to faculty, including procurement, claims, travel arrangements, and document submissions
  • Coordinate academic processes such as exam administration, mark entry, and related support
  • Support research administration by assisting with proposal preparation, submission coordination, and budget tracking
  • Monitor fund utilization, maintain expenditure records, and assist PIs in managing research grant budgets
  • Prepare and consolidate research data and indicators for reporting and submission
  • Liaise with internal departments (e.g., Finance, HR, Research Office) and external vendors to resolve budgetary, compliance, and process-related issues
  • Organize and support school-level events, seminars, meetings, and academic visits, including logistics and documentation
  • Contribute to digitalization and workflow improvements to enhance efficiency and service delivery
  • Maintain updated records, prepare internal reports and presentation materials
  • Provide secretariat support for committees and meetings, including agenda preparation, minute-taking, and follow-up tracking
  • Liaise with internal departments and external stakeholders to ensure smooth execution of administrative processes

Qualifications:

  • Bachelor’s degree in any relevant field
  • A minimum of 3 years’ working experience is required
  • Relevant administrative experience in a tertiary education or research environment is preferred
  • Strong communication and analytical skills
  • Ability to work collaboratively in a diverse team environment
  • Experience supporting multiple stakeholders and handling diverse administrative functions is essential
  • Previous experience in data analytics or statistical analysis is advantageous
  • Experience or IT skillsets to support automation and modernisation of administrative systems (preferred)
  • Experience in budget management, project coordination, and stakeholder engagement within an academic setting
