JOB SUMMARY

Looking for a one of a kind individual to join our Olakino family!
We are seeking a dedicated and detail-oriented Assistant Manager to join our team. The ideal candidate will play a crucial role in supporting the Clinic Owner with overall daily operations. This position requires strong communication skills, organizational abilities, and a commitment to providing excellent client experience through a warm and welcoming demeanor. This client-facing position includes managing the front end of the business on a day to day basis, interacting with clients in person and via email and phone, along with managerial responsibilities to assist overall clinic operations.

QUALIFICATIONS/EXPERIENCE

  • Experience: 2 years in a supervisory, management or leadership role, preferably in the beauty, wellness, or medical aesthetics industry. Other prior industry experience may be considered for finance, insurance or healthcare. Must have strong decision-making skills, be a proactive problem solver and successful in conflict resolution.
  • Skills: Strong leadership, organizational, and communication skills with a proven ability to manage and inspire teams.
  • Sales Acumen: Demonstrated success in meeting sales targets and promoting services or retail products. (Preferably in laser, skincare, or wellness)
  • Client-Focused: A commitment to delivering outstanding customer service, with an eye for detail.
  • Technology: Proficiency with clinic software and appointment scheduling systems is an asset (Jane app), along with Microsoft Office, Outlook, Word, and Excel.
  • Education: Knowledge of laser or skin treatments is an asset.

Responsibilities

Including but not limited to

  • Client Experience: Ensure exceptional client service standards are met, addressing client concerns promptly and professionally. Answer phone and emails, responding to all client inquiries about our services/treatments.
  • Clinic Duties: Manage front desk that includes answering emails, phone, checking in/out clients, client appointment management using Jane app, maintaining clean and tidy clinic and treatment rooms. Manage ordering/purchasing of supplies and inventory.
  • Team Leadership: Support the Clinic Owner in leading and motivating staff, fostering a positive and collaborative work culture amongst our small team.
  • Sales & Promotions: Assist in achieving sales targets, developing strategies to promote services, and ensuring retail sales growth.
  • Continuing Education: Maintain a comprehensive knowledge and understanding of all services and products (laser, electrolysis, aesthetic treatments, skincare)
  • Staff Management: Support hiring, training, scheduling shifts, and evaluating team members to ensure optimal clinic operations.
  • Compliance: Ensure adherence to all safety, health, and clinic policies, including maintaining a high standard of hygiene and cleanliness.
  • Administration: Payroll completion and assistance with receiving and entering retail orders and purchasing supplies. Inventory management.
