The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.
Position Title: Assistant Manager, AMS Events
Reports to: Senior Manager, AMS Events and Student Development
Supervises: AMS Events Associates & Volunteers
Employee Status: Full-time, salaried, with benefits
Hours: 37.5 hours per week (occasionally on weekends and late nights)
Salary Range: $55,000 – $58,000 per annum plus benefits package
About the AMS
The Alma Mater Society (AMS), established as a formal constitution of UBC’s student organization in 1915, is UBC’s official student union and is the largest student union in Canada. Operating as an independent organization of UBC, the AMS advocates students’ interests and provides opportunities for their growth and advancement. The AMS represents over 56,000 undergraduate and graduate students and its priorities are determined by these members. In addition to offering services to students, the AMS is an advocate of students’ issues and ensures the needs of students are presented to the University administration and the provincial and federal governments. The AMS Nest is located on the traditional, ancestral and unceded land of the Musqueam people.

Position Purpose
The AMS of UBC is currently looking for a motivated, creative and organized person to fill the role of AMS Events Assistant Manager. This role works closely with the Senior Manager, AMS Events and Student Development to ensure the proper planning and execution of events for the AMS. They will supervise and lead a team of student staff and volunteers to plan and execute a variety of projects and events for the student community.

QUALIFICATIONS & EXPERIENCE:

  • Minimum of 2 years of relevant event planning experience
  • Must have a bachelor’s degree in a related field, or a combination of education and experience
  • Proven ability to meet deadlines and produce results within a fast-paced work environment
  • Proven interest in the planning and organization of events and/or programs for groups of various size and demographic
  • Experience recruiting, hiring, training, and supervising volunteers or student staff
  • Experience with sales and marketing efforts
  • Problem solving and conflict management training and experience
  • Strong communication skills, both written and verbal
  • Experience working in a post-secondary environment is an asset
  • Ability to multi task and plan multiple projects and events concurrently
  • Positive attitude and customer service oriented
  • Strong knowledge of social media applications
  • Knowledge of diverse musical genres and interest on campus
  • Knowledge of computer software including MS Office, Teams, and Wordpress
  • Experience using Adobe Creative Cloud and project management tools like teamwork is an asset
  • Ability to work evenings and weekends on occasion
  • Willingness to work long hours on occasion
  • Ability to lift or move heavy objects of approximately 30lbs
Responsibilities
  • Lead the planning and implementation of various AMS Events and Student Government program offerings (ex. AMS Welcome Back BBQ, Lunar New Year, Brewfest, Block Party, Awards Gala, Clubs Fair)
  • Develop and maintain project management tools and software for assigned events
  • Recruit, hire, train, mentor, evaluate, and, when necessary, discipline student staff and volunteers within the AMS Events department
  • Provide ongoing coaching and support to student staff and volunteers
  • Schedule AMS Events team members to ensure adequate staffing for events
  • Managing event-specific budgets, including execution and reconciliation
  • Oversee event registration, attendee lists, and post-event debriefs and report writing
  • Participate in weekly team meetings and contribute to the overarching AMS Events strategy
  • Coordinate sponsorship outreach and manage sponsorship contracts as required
  • Collaborate with AMS Marcom to plan and execute marketing and promotional efforts for events
  • Assist with building and maintaining relationships with campus partners, suppliers, sponsors, vendors, and artists
  • Stay informed of trends and changing interests of students to help the department deliver appropriate and relevant events
  • Ensure events are respectful to, and representative of, the diverse interests of UBC students
  • Foster a positive, responsive and customer service oriented event environment
  • Facilitate training for UBC clubs and other key stakeholders around event planning and project management
