Assistant Manager Department Provost Office COE Entity Aga Khan University Location Thatta Introduction The Outreach and Research Programme of the Department of Paediatrics and Child Health has more than fifteen community-based field sites across Pakistan (including four in Karachi) and focuses on research for betterment of women and child health. The Department has a Nutritional Research Laboratory as well as an Infectious Disease Research Laboratory that cater to the needs of its research projects. It has well-acclaimed work to its credit both at the national and international level. This is a grant-funded contractual position. Responsibilities Your will be responsible to: Ensure proper maintenance and administration of field offices which includes safety and security, housekeeping and maintenance; coordinate with different project leads regarding project admin issues in Sindh region; provide admin support in the planning, organizing and executing various events of the department in Sindh region; ensure that supplies, inventory and stock are distributed properly as per the requirement of project activities; also monitor that proper records have been maintained; coordinate with Karachi office for procurement of items and take follow ups; supervise and manage transport arrangements as per requirement of field sites in Sindh; make sure that proper records are maintained in log books; supervise the drivers and assign them duties accordingly; deal with security related issues of all field sites offices outside Karachi; deal with all the political issues and liaison with community stake holders for proper commencement of project activities; coordinate with HR for all HR related services for field sites; responsible for resolving all work related conflicts and disciplinary issues; monitoring the attendance of all field staff; ensure that the advance issued for field expenses are properly utilized; responsible for maintaining proper Petty Cash records and its utilization; overall supervision of field office to ensure proper compliance of policies and smooth operations to facilitate commencement of project activities; visit field sites for monitoring and audit purpose frequently. Requirements You should have: Master’s degree in Business/Economics/Administrative Sciences; additional complementing diploma will be added advantage; 5 to 7 years of work experience on Administrative position preferably in a Health Care Organization with at least 3 years of experience in managing field operations preferably in Sindh region; excellent Communication and Supervisory skills; proficiency in Sindhi language; proficiency in computers especially MS Office; resilience and ability to cope up with work pressure; good negotiation and management skills; willing to travel to field sites frequently; excellent team Player.
