Description PIEDMONT DRIVING CLUB Title: Assistant, Purchasing Manager Reports to Director, Purchasing Supervises: Storeroom Clerks Date Created: September 2025 Related Titles: Procurement Manager Classification: Exempt Grade: 6 Job Summary (Essential Functions): The Purchasing Assistant Manager supports the overall purchasing and inventory control functions for both the main clubhouse and golf course operations. Collaborates closely with the Purchasing Director to ensure timely and accurate procuring, receiving, invoicing, and reporting of all food, beverage, and paper products and other purchases while managing inventory levels. Responsible for consistently communicating with our leadership to maintain appropriate par levels. Job Knowledge, Core Competencies, and Expectations Strategic Planning: Identifies and maintains significant pricing and vendor relationships, ensuring timely procurement to meet seasonal demands and shipping deadlines. Supply Chain Processes: Manages end-to-end processes, from procurement to period-end food inventories and storeroom requisitions. Team Development skill: Builds and leads a highly organized and trained team of purchasing employees while fostering a winning culture. Strong understanding of our business operations and decision-making processes, consistent with producing targeted and tangible results Effective communicator and collaborator; quickly engages team members. Product Knowledge: Working knowledge of sources of supplies, pricing trends, and grades or quality of materials and products Strong analytical, negotiating, and product management skills. Knowledge of and ability to perform required roles during emergencies. Job Tasks/Duties Compiles, codes, categorizes, calculates, tabulates, audits, or verifies information or data. Assures sanitation compliance. Assists Director in all aspects of purchasing (e.g., Food, Beverage, and Controllable) to ensure quality and profitability. Orders all food and beverages based on business needs. Assists Director in maintaining/lowering budgeted food/controllable costs. Uphold all safety and sanitation standards during product handling and storage. Delegates and enforces first in/first out inventory rotation for all storeroom products. Trains storeroom clerks and staff on how to follow established purchasing procedures and manages staff to ensure that established purchasing procedures are consistently followed. Enforces item use-up with storeroom personnel and kitchen management to keep inventory at the lowest possible levels. Communicates with kitchen, restaurant management, and vendors to ensure the timing of deliveries satisfies advanced food production needs. Checks invoices on goods received against shipment to ensure quantity, quality, weights, and purchase specifications are as ordered. Maintains inventory controls for proper levels, dating, rotation, requisitions, etc. Receives and inspects all deliveries. Handles communications concerning over-shipments, shortages, price changes, and related matters. Develops specifications for products, materials, and services in cooperation with staff responsible for production and service. Completes period-end inventory according to Food and Beverage and Accounting standard operation procedures. Ensures that price and product availability issues are communicated to the F & B Team as needed. Authorizes the rejection of materials that fail to meet specifications. Select vendors and negotiate reasonable terms with their company representatives. Solves problems with vendors; expedites deliveries as necessary. Works with vendors to identify new products, materials, and processes. Reviews and closes open purchase orders promptly. Participates in “make-or-buy” decisions with production and service staff. Cooperates closely with various managers regarding special function requirements, special menus, linens, etc. Monitors maintenance and repair of purchasing and storeroom facilities. Monitors and maintains cleanliness and organization of walk-in refrigerators and freezers. Attends departmental and club meetings. Requirements Required Qualifications: High School Diploma or GED Three+ years of experience in the hospitality or food and beverage industry Three+ years of supervisory experience in purchasing or procurement Experience in quantity food purchasing, food service, supplies, or services through competitive bidding Proficiency using MS Office and related business and communication software Preferred Qualifications: College degree in business, hospitality, or related field Purchasing experience in a club environment Strong organizational skills, attention to detail Ability to work in a fast-paced environment while maintaining vendor relationships and cost controls Preferred: Licenses and Special Requirements SERV Safe Manager certification Physical Demands and Work Environment Must be able to reach, bend, stoop, climb, stand, and walk frequently. Must push, pull, and lift up to 70 pounds. Must be able to sit for prolonged periods. Moderate noise levels in the work environment Must be able to handle hot and cold interior and exterior conditions (kitchen, storage, dock and vendor deliveries)
